Create & Manage Events

The Manage Events tab of the Scheduling Tool is used to create or update events. These events can be for the whole city or town, for one user, or a group. They can be set for one time or happen regularly. This tab schedules any type of event or meeting. It also schedules inspector status, like sick or vacation days. However, this tab is not for scheduling inspections.

Create an Event

  1. Sign in to your site

  2. Select the Scheduling Tool in the navigation bar: A dashboard interface displaying scheduling tools and inspection management options for users. The scheduling tool navigation is highlighted

  3. Click Add Event:A portal interface displaying scheduling options and event management features. The add event button is highlighted.

  4. Enter a Title for the event An event form with fields for title, users, date, and notes for scheduling events.

  5. If applicable, select All Day Event to block off the entire day's calendar for the user(s) An event form displaying fields for title, users, location, and date selection.

  6. Users can also choose to make an event a Background Event. This will stop assigned users from getting inspections scheduled at that same time.An event form displaying options for all day and background events with user selection.

    Note

    A background event appears on the week and day views of the calendar and Gantt chart. Only background events marked as "All Day" will show on the month view. A background event can be overridden. This happens if a user forces an inspection to be scheduled at that same time. The override is done from inside the inspection record. Background events are used for times when an inspector cannot take inspections. Examples include when an inspector is sick or on leave. Regular events allow other events to overlap.

  7. Select User(s) to add the event to, and enter a LocationA user selection interface displaying options to select users, departments, and location.

    Note

    When a district or department is selected, only users in the For Users field are affected. Users can select a mix of many departments and other users. This is done before saving the event. The event does not remember the chosen department(s). It only remembers the users linked to it.

  8. Use the calendar icons to select a Start / End date and time for the meeting An event form displaying user selection, date range, and occurrence options for scheduling.

  9. Choose the Occurrence for the eventDate selection options for scheduling events including occurrence settings and notes section.

    • Once on the selected date and time: Select to create a one-time event

    • Repeat with frequency: Select to create a recurring event A form section for setting event recurrence with days and frequency options.

      • Interval Type: Choose to repeat the event Weekly, Monthly, Quarterly, or Yearly

      • Interval: Select the day(s) of the week to repeat the event

      • Frequency: Decide how often the event will repeat. This is based on the chosen interval type. For example, it could be the first Friday of every month.

  10. Add any Notes for the event, if applicable

  11. Click Create to apply the event to all associated calendars

Update an Event

  1. Sign in to your site

  2. Select the Scheduling Tool in the navigation bar A dashboard interface displaying scheduling tools and inspection management options for users. The scheduling tool navigation is highlighted

  3. The scheduler will open in a new browser tab, and click Manage EventsUser interface for managing events and inspections in a scheduling portal. The manage events tab is highlighted.

  4. Scroll down to the events list and select the event you wish to update Event schedule displaying various events and dates. The pencil icon is highlighted.

  5. Modify event fields, as needed Event form displaying title, user selection, date, and occurrence options for scheduling which are all available to edit.

  6. Click UpdateButtons for updating, clearing, and closing actions in a user interface. The update button is highlighted.
