Run and Print Reports

Prev Next

This article shows how to run an existing report. It also shows how to print results, including bulk printing. All bulk printing starts inside the report system. The process lets users create a report query. The results from that query can then generate bulk letters or forms.

Instructions

  1. Sign in to your site

  2. Navigate to Reporting and click the applicable category:List of reports in the Community Development Reporting section, highlighting the Permit Reports option.

  3. Expand the Existing Reports tab and select the report you want to run: A list of existing permit reports with highlighted options for applications.

  4. If needed, configure the report parameters: Permits query parameters, including applicant, property, structure, miscellaneous, and conditions sections.

  5. Click the Query button:A user interface for generating reports with highlighted query button and dropdown options.

  6. A list of results shows in a table below the Query options: Permit details from running a report query including number, date, location, and type for solar panel installation.

  7. To print the report, select a file option and click the Print button:A user interface for generating reports with options for PDF format and print functionality.

  8. To print in bulk:

    1. The bulk print drop-down lists all available forms and letters in the system. These are specific to the report's module: A dropdown menu showing various permit options, highlighting 'Expiring Permit Notice - Applicant (bulk)'.

      Note:

For example, if the user needs to print bulk permit expiration notices, this will include all residents with expired permits. The user can either create a new report or use an existing one, such as All Expired Permits. After selecting the report, the user chooses which form or letter to print. Because the report originates from the permit module, only permit-related forms will be available.

    2. Once the form or letter is selected, the user has a choice for the output. They can select PDF or HTML:

A dropdown menu for selecting file format options to print in bulk in the permit system interface.

      • HTML: The HTML option will display each of the forms within the browser window. If a specific HTML code was used to create the forms, the user can add comments or notes to each form before printing. Those comments are not stored in the database files.

      • PDF: Separate pages will be created in the PDF file for each record listed in the query results.

    3. Click the Bulk Print button:A user interface displaying permit details with a highlighted bulk print option.
