The Cost Recovery Glossary is a comprehensive explanation of the acronyms, abbreviations, and company-specific terminology. The terms located in this section are listed alphabetically:

  • Cost: Costs or expenses are money incurred by your organization to offer a program

  • Direct Expense: For Cost Recovery, direct expenses include the hourly instructor/official costs, supplies, and materials to offer the program and facility costs. There is an area that allows for Other direct costs.

  • Facility: The name of the Facility where the program will be held

  • Facility Type: The sub-facility(s) to the larger Facility Name or physical facility(s). For example, a Facility named John Doe Recreation Center has sub-facilities or Facility Types of a Lap Pool, Weight Room, Gym, Multi-purpose Room, Fitness Room

  • Facility Unit: The sub-facility to the larger Facility Type. A Facility Unit is the smallest, divisible, rentable space within a facility. For example, if the facility name is John Doe Recreation Center, and the facility type is Lap Pool, then the facility unit would be Lane.

  • Fee: This is what you charge for a program

  • Indirect Expense: For Cost Recovery, indirect expenses include total supervisory costs (Coordinator and/or Supervisor(s)) and/or administrative costs. There is an area that allows for Other indirect costs.

  • PASS: Pricing and Service Sustainability

  • POS: Point of Sale

  • Service: An individual program/class/event/league or team.

  • Service Area: programs, leagues, and events generally tied to a budget area

  • Service Category: A predetermined grouping of Services with a cost recovery/subsidy level identified for each Service offered by the organization.

  • Service Sub Area: A group of services offered within a service area. For example, if you have a service area of Aquatics, the Service sub-area may be Lessons or Swim Team.

  • Status: Allows the user to tell the app where the program currently stands. The reports and summary data on the Dashboard only reflect Complete or Accepted programs.

    • Accepted: Your Supervisor reviewed the email sent and has accepted the outcomes.

    • Complete: You are finished entering all the data for the program.

    • Incomplete: You are still working on the program and/or are not satisfied yet with the outcomes.

    • Pending: You have emailed the program to your Supervisor and are awaiting a response.

    • Rejected: You have emailed the program to your Supervisor and they have rejected one or more aspects of the data.
