Create & Manage a CivicPlus Agent

This article walks through how to add CivicPlus Agent (Resident Agent) for your organization.

Organization Service Instructions

  1. Sign in to the Organization

  2. Select AI Agents in the navigation menu

  3. Click Resident Agents

  4. Click Add Agent or select an existing agent

  5. Fill out the Branding fields:
    Form for adding a resident agent with fields for chatbot name and logo upload.

    • Chatbot Name: This name will appear at the top of the chat window.

    • Primary Color: This color will appear in the chat user interface.

    • Custom Logo: Upload an image. Files should be a transparent PNG. Max file size is 500 KB. If an image is not set, a default icon will be in place.

    • Chat Floating Action Button Size: Choose the size of the button. This size will be consistent across desktop, tablet, and mobile devices.

  6. Configure the Location:
    Settings for agent display position and URL embedding options on a website.

    • Position: Choose to have the agent appear in the bottom right or bottom left of your site

    • Bottom Offset: By default, the chat floating action button has a 20px margin from the bottom of your website. You can adjust the vertical padding in 12px increments to ensure a perfect fit.

    • Display URL: Enter the links on which the agent may be embedded. The embed code will also need to be added to the website for an agent to display.

  7. Modify the Chat Introduction:
    Chat introduction with welcome message, response length options, and tone selection for chatbot.

    • Welcome Message: This message will first appear when the user opens the chat window.

    • Fallback Message: When the agent is unable to answer, it will return this message, which can be customized. We recommend providing an email or phone number for residents to contact for more information.

    • Greeting: Add a message that will display next to the floating action button.

    • Response Length: Choose the length of your chatbot responses.

      • Short: 50 to 100 words maximum (2 to 3 sentences for simple questions)

      • Medium: 100 to 200 words (1 to 2 paragraphs with moderate detail)

      • Long: 200 to 300 words maximum (comprehensive detail with examples)

    • Tone: Choose the tone of your chatbot. This is how the AI will respond to residents' prompts.

  8. Click Save
    The Save button on the Resident Agent page.

  9. You can now configure the Knowledge Base for the agent


Staff Center Instructions

Staff Center is currently in Beta. Contact your Customer Success Manager for more information. If you do not have the Staff Center set up for your organization, use the Organization Service instructions.
