Prevent Updates on a Workflow Status

This article will show you how to prevent users from updating a status on your workflow in the HCMS.

Important Note

On the Default Workflow, the Published step has this option enabled. In this situation, when content or assets where this workflow applies are in the Published status, the status cannot be updated by anyone who is an Author for the permission set.

Instructions

  1. Sign in to the HCMS

  2. Navigate to Settings and then select WorkflowsSettings menu displaying Workflows.

  3. Click the gear icon next to the Workflow you wish to edit User interface showing events section with options to add a workflow.

  4. Scroll to the relevant status and check Prevent updatesSettings interface showing options to prevent updates for specific roles and statuses.

  5. Specify what Role this restriction applies to Options for roles including Author, Developer, and Publisher in a selection interface.

    Note:

    This option will prevent users in certain roles from updating the status of content or assets.

  6. If desired, Javascript can be used in the Expression field to specify if there are only certain conditions where a user should be prevented from updating the status Code snippet showing condition for preventing updates based on approval status.

  7. Scroll up and click SaveA Save button underneath a workflow.
