Workflow Transitions

This article will show you how to add and manage transitions on a workflow step in the HCMS.

Add a Workflow Transition

  1. Sign in to the HCMS

  2. Navigate to Settings and then select the Workflows menu optionSettings menu displaying Workflows.

  3. Click the gear icon next to the Workflow you wish to editUser interface showing events section with options to add a workflow.

  4. Scroll to the desired step and choose one of the status options from the dropdownStatus options for submissions including declined, published, and submitted categories.

    Note:

    In the dropdown you will see a list of statuses on the workflow that have not already been added as a transition for the step. If you do not see a dropdown, that means you already have all available options added to the step.

  5. Click the + buttonThe plus sign icon next to a Declined status.

  6. If desired, add a Role for the transitionUser interface showing roles for content management with options for access levels.

    Note:

    If there are no roles specified, any user with access to modify content will be able to complete the transition for the content item or asset this workflow applies to.

  7. JavaScript can be used in the Expression field to specify if there are only certain conditions where users can change the statusStatus options for content management: Declined, Draft, and Published with roles.

  8. Scroll up and click the Save buttonA Save button underneath a workflow.


Delete a Workflow Transition

  1. Sign in to the HCMS

  2. Navigate to Settings and then select the Workflows menu optionSettings menu displaying Workflows.

  3. Click the gear icon next to the Workflow you wish to editUser interface showing events section with options to add a workflow.

  4. Select the Delete button (trash can icon) next to the transition you wish to remove:Workflow status indicators for document submissions and roles in a management system.

    Note:

    This does not delete the step entirely, it just removes it as the transition for the given step and it can still be used in this workflow.
