Performance Evaluation Workflow Email Events

Overview

The CivicHR Performance Management product has a series of automatic emails that it sends to alert users where they are at in the review process without logging in. These emails are document below in chronological order.

 

Employee Notified that the Review is Ready to Evaluate

  • When is it sent? When the review status is updated from “In Progress to “Ready to Evaluate”
  • Recipient: The employee
  • From: performance@civicplushrms.com
  • Subject: Your Performance Review is now Ready to Evaluate
  • Email Body: The body of the email is controlled by the template, “Notify Employee of Ready to Evaluate Status”.

 

Supervisor Notified That a Shared Appraiser Has Completed a Review

  • When is it sent?  After a shared appraiser or an employee finalizes their evaluation, a completion email is sent to the main supervisor.
  • Recipient: The main supervisor
  • From: noreply@civicplushrms.com
  • Subject: Employee Evaluation Complete
  • Email Body: Shared appraiser {Manager Name} has completed their evaluation of employee {Employee Name}. To view this evaluation, please login and navigate to your Performance Management system to view the results.

 

Performance Review Routed to an Approver

  • When is it sent? After the review had been evaluated and all required sections are rated and weighted, the review may be routed through a workflow for approval. The approval workflow can be found on the employee record and is also listed in the review. Each approver in the workflow will receive the same email except for the last approver.
  • Recipient: Approvers for the review
  • From: performance@civicplushrms.com
  • Subject: Performance Review Routed to you by {Manager Name} for {Employee Name}.
  • Email Body: The body of the email is controlled by the template, “Route To Supervisor E-Mail”.

 

Performance Review Rejected by an Approver

  • When is it sent? When an approver rejects a review, the review goes back to the main supervisor for review. The main supervisor then received a review rejected email.
  • Recipient: The main supervisor
  • From: performance@civicplushrms.com
  • Subject: Performance Review for {Employee Name} has been Rejected by {Approver Name}
  • Email Body: The body of the email is controlled by the template, “Review Rejected E-Mail”.

 

Performance Review Approved by the Final Approver

  • When is it sent? The main supervisor will receive an email when all approvers in the workflow have approved the review. The main supervisor will not receive an email for each approval, but only for the final approval.
  • Recipient: The main supervisor
  • From: performance@civicplushrms.com
  • Subject: Performance Review for {Employee Name} Approved by Final Level Approver {Supervisor Name}
  • Email Body: The body of the email is controlled by the template, “Review Approved - Final Level E-Mail”.

 

Feedback Reminder Emails

  • When is it sent? The main supervisor and all shared appraisers will received reminder emails (if a milestone was made for them) before, on and after the milestone.
  • Recipient: The main supervisor and shared appraisers
  • From: performance@civicplushrms.com
  • Subject: Review Feedback Due {Feedback Milestone Date} for Employee: {Employee Name}
  • Email Body: The body of the email is controlled by the template, “Supervisor Feedback Reminder E-Mail”.

 

Review Due Emails

  • When is it sent? The main supervisor and all shared appraisers will received reminder emails (if a milestone was made for them) before, on and after the milestone. Recipient: The main supervisor
  • From: performance@civicplushrms.com
  • Subject: Review Feedback Due {Feedback Milestone Date} for Employee: {Employee Name}
  • Email Body: The body of the email is controlled by the template, “Supervisor Feedback Reminder E-Mail”.
