Prevent Updates on a Workflow Status

This article will show you how to prevent users from updating a status on your workflow in the HCMS. 

 

Important Note

  • On the Default Workflow, the Published step has this option enabled. In this situation, when content or assets where this workflow applies are in the Published status, the status cannot be updated by anyone who is an Author for the permission set.

Instructions

  1. Navigate to Settings and then select Workflows
    Settings tab in left navigation with Workflows selected in secondary menu.
  2. Click the gear icon next to the Workflow you wish to edit
    Gear icon.
  3. Scroll to the relevant status and check Prevent updates
    Prevent updates checkbox.
  4. Specify what Role this restriction applies to
    Roles drop-down.
    Note: This option will prevent users in certain roles from updating the status of content or assets.
  5. If desired, Javascript can be used in the Expression field to specify if there are only certain conditions where a user should be prevented from updating the status
    Expression field.
  6. Scroll up and click Save
    Save workflow.
