Add and Manage Administrators

This article shows you how to add, edit, or remove an Administrator user.

Important Note

On October 1, 2024, the Administrator Passwords View Update feature will be available to start using and testing. On November 1, the new feature will be fully released with the ability to revert to the old view until the end of the year.

Add an Administrator

  1. Sign in to your site

  2. Navigate to Manage AdminsThe Manage Admins option in the left navigation menu.

  3. Select Add AdministratorThe Add Administrator button on the Administrators page.

  4. Fill out Basic InformationForm fields for user registration including email and contact options.

    • First/Last Name (required): Full name of the administrator

    • Email (required): Email of the administrator

    • Sign-On Type: We recommend using the Single Sign-On option. The new user's Single Sign-On Username will automatically be set to the Email Address provided.

    • Automatically create contact: Adding the administrator also adds an internal contact

    • Phone Number (Optional): The phone number of the administrator

    • Zip Code (Optional): The zip code of the administrator

    • Upload Profile Photo (Optional): Attach an image of the administrator

  5. (Optional) Configure Security Questions to be used if the password is forgotten to verify identityForm for selecting security questions and entering answers for account verification.

  6. Choose an Administrator Role from the drop-down; this will assign the applicable permissions to the userUser role selection interface showing 'Super Admin' option highlighted for assignment.

  7. (Optional) Restrict the Groups this administrator can send alerts toOptions to restrict administrator access to specific groups in a user interface.

    Note:

    Most admins do not need this applied to their profile. Administrators should only be assigned to specific groups if you want them to send messages exclusively within those groups. This assignment does not grant them the ability to receive alerts; instead, it enables them to send alerts. It is advisable to restrict them to designated top-level or sub-groups to streamline communication effectively.

  8. Click Save ChangesThe Save Changes button on the admin screen.


Edit an Administrator

  1. Sign in to your site

  2. Navigate to Manage AdminsThe Manage Admins option in the left navigation menu.

  3. Locate and select the Administrator you would like to editList of admin names with one highlighted for selection.

  4. Edit the necessary informationAdministrator account details including role and security questions.

    • First / Last Name (required): Full name of the administrator

    • Email (required): Email of the administrator

    • Phone Number (Optional): The phone number of the administrator

    • Zipcode (Optional): Zip code of the administrator

    • Upload Profile Photo (Optional): Administrator's photo

    • Security Questions (Optional): Select pre-created questions from the dropdowns and add a short answer

    • Administrator Role: Set the role assigned to the user (admins cannot edit their own role)

    • Lock Administrator to Specific Groups: Only use if you want to restrict the groups this Admin can send alerts to

  5. Click Save Changes The Save Changes button on the admin screen.


Delete an Administrator

  1. Sign in to your site

  2. Navigate to Manage AdminsThe Manage Admins option in the left navigation menu.

  3. Locate and select the checkmark next to the Admin(s) you want to delete Checked box next to an administrator's name.

  4. Click Delete Selected Administrator screen with a button to delete selected administrator.

  5. Review the admins you selected to delete and click NextConfirmation dialog to delete an administrator, showing admin details and a Next button.

  6. Type DELETE in the box to confirm and click the Delete button Confirmation dialog for deleting an administrator, requiring 'DELETE' to proceed.

    Note:

    This action cannot be undone. Toggle on Delete contacts associated with these administrators to remove all contacts associated with the selected admin(s).
