Access Control

Access Control allows administrators to assign access to templates to everyone, to single administrators, or by role. Access control rules can apply to any template in your system.

Once Access Control is activated for your tenant and the Administrator possesses the Manage Alert Templates permission in their Role, they will have the ability to designate specific access levels for both existing templates and any new templates that are created.

To create or change access, click on an existing Brand, Social Media Account, or Template.

Important Note

Access Control is available for Branding, Social Media and Templates. Choose the type before creating your template.

Create or Change Template Access

  1. Sign in to your site

  2. Navigate to Alerting/Poll Templates:The Dashboard screen with the Alerting/Poll Templates menu option highlighted.

  3. Click the plus-sign icon to create a new alert or poll template, or select an existing Brand, Social Media Account, or Template:The Alert Templates screen with a template name and the Add Template button highlighted.

  4. Navigate to the Access section. This section will allow Administrators to assign to a person (administrator) or a Role:The Access section of the Alert Templates screen with Organization information and buttons for Add Person or Add Role.

    • From this section, the Administrator can choose

      • Read: Select on the alert form only

      • Update: Can make changes and resave

      • Delete: Remove template permanently

  5. Click Add Person to give access to specific administrators:The Access section with the Add Person button highlighted.

    1. Use the Search bar to search for specific users, if needed:The Add Person screen with the Search bar highlighted.

    3. Click Grant Access to give access to the selected administrators:The Add Person pop-up window with the Grant Access button highlighted.

    4. Customize access permissions by checking the checkboxes for the desired access options:The Access section of the Alert Templates screen with checkbox options for permissions to Read, Update, and Delete.

      • Read (selected by default): Select the template on an alert form

      • Update: Make changes and resave the template

      • Delete: Remove template permanently

      Note:

      Different access levels can be granted to each Administrator.

  6. Click Add Role to give access to users with specific roles or within specific groups:The Access section of the Alert Templates screen with the Add Role button highlighted.

      • Read (selected by default): Select the template on an alert form

      • Update: Make changes and resave the template

      • Delete: Remove the template permanently

    Note:

    Different access levels can be granted to each role or group.

  7. Update the other template fields as needed

  8. Review the template as needed, and click Save or Save As to save your changes:The Review Template screen with the Save and Save As buttons highlighted.

  9. Template access has been updated

    Notes:

    • Only Brands, Social Media Accounts, or Templates that the Administrator has been granted access to using one of these methods will show as a selectable template on the Send Alert or Send Poll forms.

    • If an Administrator does not have permission to Manage Alert Templates, if the Role is granted access to Read, Update, or Delete a template, the Administrator will be able to interact with the template in the navigation. Social Media Accounts and Branding will show the same message:
