Template Access Control

Note:

Template Access Control allows administrators to assign access to templates to everyone, to single administrators, or by role. Access control rules can apply to any template in your system.

Once Template Access Control is activated for your tenant and the Administrator possesses the "Manage Alert Templates" permission in their Role, they will have the ability to designate specific access levels for both existing templates and any new templates that are created.

Important Note

Access Control is valid for both Alert and Poll form types. You can choose the type before creating your template.

Create or Change Template Access

  1. Sign in to your site

  2. Navigate to Alerting/Poll Templates Navigate to alerting poll templates.

  3. Click the plus-sign icon to create a new alert or poll template, or select an existing template from the Templates list A blue, circular button with a plus-sign icon that can be clicked to create a new template and an existing example template.

  4. Navigate to the Access section The Access section on an example template.

  5. Click Add Person to give access to specific administrators A blue, rectangular Add Person button in the Access section.

    1. Use the Search bar to search for specific users, if needed A Search bar below the Grant Access to People modal.

    2. Check the checkbox next to an administrator's name to select them Checkboxes to the left of administrator names in the Grant Access to People modal.

    3. Click Grant Access to give access to the selected administrators The blue, rectangular Grant Access button in the lower-right corner of the Grant Access to People modal.

    4. Customize access permissions by checking the checkboxes for the desired access options People access checkboxes in the Access section.

      • Read (selected by default): Select the template on an alert form

      • Update: Make changes and resave the template

      • Delete: Remove template permanently

      Note:

      Different access levels can be granted to each Administrator.

  6. Click Add Role to give access to users with specific roles or within specific groups A blue, rectangular Add Person button in the Access section.

    1. Check the checkbox next to a role or group to select it Checkboxes to the right of roles in the Grant Access to Roles modal.

    2. Click Grant Access to give access to the selected roles or groups The blue, rectangular Grant Access button in the lower-right corner of the Grant Access to Roles modal.

    3. Customize access permissions by checking the checkboxes for the desired access options Roles access checkboxes in the Access section.

      • Read (selected by default): Select the template on an alert form

      • Update: Make changes and resave the template

      • Delete: Remove the template permanently

    Note:

  7. Update the other template fields as needed

  8. Review the template as needed, and click Save or Save As to save your changes The Save and Save As buttons in the Review section of the Template Settings page.

  9. Template access has been updated

    Notes:

    • Only Templates that the Administrator has been granted access to using one of these methods will show as a selectable template on the Send Alert or Send Poll forms.

    • If an Administrator does not have permission to Manage Alert Templates, if the Role is granted access to Read, Update, or Delete a template, the Administrator will be able to interact with the template in the navigation. A 'You don't have permission' message at the top of the Template Settings page.
