Add and Manage Confidential Attachments Groups

Attachments added to agenda items can be marked as Non-Confidential (visible to everyone) or Confidential (visible to select groups only). The groups that can view confidential attachments, known as Confidential Attachments groups, can be added and managed within the system at any time. This article will show you how to add, edit, hide, and delete your Confidential Attachment groups.

Add a Confidential Attachments Group

  1. Sign in to the system if you have not already

  2. Navigate to the User Menu, then select the Settings option:The User Menu with the Settings option highlighted.

  3. Click the Meetings tile:The Meetings tile with a briefcase icon on the Site Settings page.

  4. Click the Confidential Attachments tile:The Confidential Attachments tile with a paper and lock icon on the Meetings Settings page.

  5. Click the New Confidential Attachments button:The white, rectangular New Confidential Attachments button to the right of the Confidential Attachments header.

  6. Fill in the Add Confidential Attachments fields:The information fields on the Add Confidential Attachments modal.

    • Group Name (required): Add a name for the Confidential Attachments group

    • Notes: Enter a description or notes for the group, if desired

    • Hide in List: Check this checkbox to hide the group from Confidential lists, if desired

    • Select Members: Add group members by clicking inside the Select Members field or by typing members' usernames to search for them automatically

  7. Click the Add Confidential Attachments button:The green, rectangular Add Confidential Attachments button in the lower-right corner of the Add Confidential Attachments modal.

  8. The Confidential Attachments group has been added:The Confidential Attachments list with the added example Confidential Attachments group.

Edit a Confidential Attachments Group

  1. Sign in to the system if you have not already

  2. Navigate to the User Menu, then select the Settings option:The User Menu with the Settings option highlighted.

  3. Click the Meetings tile:The Meetings tile with a briefcase icon on the Site Settings page.

  4. Click the Confidential Attachments tile:The Confidential Attachments tile with a paper and lock icon on the Meetings Settings page.

  5. Click the Edit button (purple pencil icon) to the right of a Confidential Attachments group name to modify an existing Confidential Attachments group:The Edit button to the right of an example Confidential Attachments group name.

  6. Update the Edit Confidential Attachments fields:The information fields on the Edit Confidential Attachments modal.

    • Group Name (required): Edit the name of the Confidential Attachments group, if desired

    • Notes: Enter or edit a description or notes for the group, if desired

    • Hide in List: Check or uncheck this checkbox to indicate if the group should appear or be hidden within Confidential lists

    • Select Members: Click the red X icon next to a member's name to remove that user from the team, or click inside the empty text field next to existing member names to select or type and add new members' usernames

  7. Click the Save Changes button:The green, rectangular Save Changes button in the lower-right corner of the Add Confidential Attachments modal.

  8. The Confidential Attachments group has been edited:The Confidential Attachments list with the edited example Confidential Attachments group.

Hide a Confidential Attachments Group

  1. Sign in to the system if you have not already

  2. Navigate to the User Menu, then select the Settings option:The User Menu with the Settings option highlighted.

  3. Click the Meetings tile:The Meetings tile with a briefcase icon on the Site Settings page.

  4. Click the Confidential Attachments tile:The Confidential Attachments tile with a paper and lock icon on the Meetings Settings page.

  5. Click the Hide toggle switch next to the desired Confidential Attachments group to change the group from visible to hidden:A white and gray, rectangular Hide toggle switch to the right of an example Confidential Attachments group name.

    Note:

    When a Confidential Attachments group is hidden, it will not appear within Confidential Attachments lists within the system.

Delete a Confidential Attachments Group

  1. Sign in to the system if you have not already

  2. Navigate to the User Menu, then select the Settings option:The User Menu with the Settings option highlighted.

  3. Click the Meetings tile:The Meetings tile with a briefcase icon on the Site Settings page.

  4. Click the Confidential Attachments tile:The Confidential Attachments tile with a paper and lock icon on the Meetings Settings page.

  5. Click the Delete button (red trash can icon) to the right of the existing Confidential Attachments group that you wish to delete:The Delete button to the right of an example Confidential Attachments group name.
