Add & Manage Text Snippets

This article will show you how to add, edit, reorder, and delete Text Snippets. The Text Snippets feature allows you to insert words or phrases into your Items, Agendas, Minutes, Emails, and Tasks from a pre-determined list of text snippets, rather than typing text over and over.

Important Notes

  • You have the option to create and manage Item Snippets, Minutes Snippets, Agenda Script Snippets, Email Snippets, and Task Snippets. The fields and creation process are the same for all of them. The processes for creating and managing item snippets are shown in the sections below.

  • You can use group snippets to organize your text snippets into customizable subgroups. For more information about group snippets, view the Create and Manage Group Snippets article.

Add a Text Snippet

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then click the Settings optionThe User menu with the Settings option highlighted.

  3. Click the Meetings tileThe Meetings tile with a briefcase icon on the Site Settings page.

  4. Click the Text Snippets tileThe Text Snippets tile on the Templates row of the Meetings page.

  5. Scroll to the desired snippet section on the Text Snippets pageThe Item Snippets section on the Text Snippets page.

    Note:

    You have the option to create new Item Snippets, Minutes Snippets, Agenda Script Snippets, Email Snippets, and Task Snippets. The fields and creation process are the same for all of them.

  6. Click the New [Type] Snippet buttonA white, rectangular New Item Snippet button.

    Note:

    The text displayed on the New Snippet button will depend on the snippet section you have scrolled to in step 5.

  7. Fill in the Add New [Type] Snippet fieldsThe information fields on the Add New Item Snippet modal.

    • Snippet Name (required): Enter a name for the text snippet

    • Snippet Text: Enter the text of the text snippet

      Note:

      You can use the paragraph formatting and text formatting tools to format the display of the snippet text as desired.

    • Snippet Group: Select the snippet group you wish to assign the snippet to, if desired

  8. Click the Add New [Type] Snippet buttonThe green, rectangular Add New Item Snippet button in the lower-right corner of the Add New Item Snippet modal.

  9. The text snippet has been createdAn example item snippet within the Item Snippets list.


Edit a Text Snippet

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then click the Settings optionThe User menu with the Settings option highlighted.

  3. Click the Meetings tileThe Meetings tile with a briefcase icon on the Site Settings page.

  4. Click the Text Snippets tileThe Text Snippets tile on the Templates row of the Meetings page.

  5. Scroll to the desired snippet section on the Text Snippets pageThe Item Snippets section on the Text Snippets page.

    Note:

    You have the option to create new Item Snippets, Minutes Snippets, Agenda Script Snippets, Email Snippets, and Task Snippets. The fields and creation process are the same for all of them.

  6. Select the Edit tool (purple pencil icon) to the right of the text snippet you wish to editAn Edit button that can be clicked to modify an existing snippet.

  7. Modify the snippetThe Edit Item Snippet modal and fields.

    • Snippet Name (required): Edit the name of the snippet, if desired

    • Snippet Text: Edit the content of the snippet text, if desired

      Note:

      You can use the paragraph formatting and text formatting tools to format the display of the snippet text as desired.

    • Snippet Group: Select the snippet group you wish to assign the snippet to, if desired

  8. Click the Save Changes buttonThe green, rectangular Save Changes button in the lower-right corner of the Edit Item Snippet modal.

  9. The text snippet has been editedAn example item snippet within the Item Snippets list.


Reorder Text Snippets

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then click the Settings optionThe User menu with the Settings option highlighted.

  3. Click the Meetings tileThe Meetings tile with a briefcase icon on the Site Settings page.

  4. Click the Text Snippets tileThe Text Snippets tile on the Templates row of the Meetings page.

  5. Scroll to the desired snippet section on the Text Snippets pageThe Item Snippets section on the Text Snippets page.

    Note:

    You have the option to create new Item Snippets, Minutes Snippets, Agenda Script Snippets, Email Snippets, and Task Snippets. The fields and creation process are the same for all of them.

  6. Click the Edit Order buttonThe white, rectangular Edit Order button to the right of the Item Snippets header.

  7. Click and hold the grid icon(s) to the left of the desired snippet(s) and drag and drop the snippet(s) into the preferred orderAn example item snippet being dragged-and-dropped into order.

  8. Click the Save Changes button to save your preferred orderThe green, rectangular Save Changes button in the lower-right corner of the Edit Order modal.

  9. The text snippets have been reordered


Delete a Text Snippet

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then click the Settings optionThe User Menu with the Settings option highlighted.

  3. Click the Meetings tileThe Meetings tile with a briefcase icon on the Site Settings page.

  4. Click the Text Snippets tile under the Templates headingThe Text Snippets tile on the Templates row of the Meetings page.

  5. Scroll to the desired snippet section on the Text Snippets pageThe Item Snippets section on the Text Snippets page.

  6. Click the Delete button (red trash can icon) to the right of the text snippet you wish to deleteA Delete button that can be clicked to remove a snippet from the system.

  7. Click the Delete [Type] Snippet button on the popup that appears to confirm the deletionThe Delete Item Snippet button on an example Delete Item Snippet popup.

  8. The text snippet has been deleted
