A video or audio file is optional, but it lets you jump to that point in the recording while reviewing your minutes. This article covers where these files come from and how AI Generated Minutes matches discussion to agenda items. > [!NOTE] > Important Note: > > The details in this article only apply to organizations with [AI Generated Minutes](/meetings-select/docs/ai-generated-minutes-overview) enabled. For more information or to enable AI Generated Minutes, please contact your [Customer Success Manager](https://www.civicplus.com/customer-success-manager/) or Account Manager. ## Closed Caption and Zoom Transcript Sources AI Generated Minutes can accept closed caption files in SRT or VTT format, or Zoom transcripts downloaded directly from the platform. Both include the timestamps the AI uses to align the meeting discussion with the applicable agenda item. Depending on your setup, closed captions or Zoom transcripts can come from integrated meeting platforms or be uploaded manually. - **Order through CivicPlus:** [Order and apply Closed Captioning to an individual event](/meetings-select/docs/use-caption-transcription-translation-services-on-events#closed-captioning-cc) or apply it to all meetings created from a specific [event template](/meetings-select/docs/create-manage-event-templates). - **Upload Manually:** [Add your own SRT or VTT Closed Caption file, or Zoom transcript file](/meetings-select/docs/upload-a-media-services-file), in the Event Media view. ### For Best Results AI Generated Minutes works best with a **strong caption or transcript file**. It should have: - The complete meeting - Accurate timestamps - Clear spoken discussion - Recognizable speaker or agenda references A **poor source file** can reduce accuracy. This affects generated content and agenda matching. Accuracy may drop if the file has: - Poor audio quality - Missing portions of the meeting - Incorrect timestamps - Overlapping speakers - Incomplete captions ### Agenda-Item AI Matching AI Generated Minutes uses the published agenda, transcript or closed-caption timestamps, meeting context, and available meeting timing information to associate discussion with agenda items. Sometimes the system cannot confidently place a conversation. When this happens, it saves the content as an unmatched conversation instead of deleting it. A clerk can then review it; see the [Review and Edit an AI Minutes Draft article](/meetings-select/docs/review-and-edit-an-ai-minutes-draft) for more information. --- ## Video and Audio Sources You don't need to add a video or audio file for AI Generated Minutes to work; that part is completely optional. However, if you add one, you can click a section or item while reviewing your minutes and jump to that point in the recording. This lets you confirm what was said before you finalize your minutes. AI Generated Minutes accepts video or audio in MP4 or MP3 format. Depending on your setup, this can be captured automatically through CivicPlus Media or uploaded manually. - **CivicPlus Media:** If your meetings are already streamed or recorded using CivicPlus Media, the recording is automatically saved to the event in the [Events module](/meetings-select/docs/event-media-overview). - **Upload Manually:** [Add your own](/meetings-select/docs/upload-media-for-on-demand-playback) video or audio file in the Event Media view. > [!WARNING] > Note: > > There is no [size limit](/meetings-select/docs/accepted-file-formats-and-size-restrictions#civicplus-media-file-parameters) for media files. Larger files take longer to download, and they can have issues during playback or streaming. Artificial Intelligence SubRip Subtitle. Web Video Text Tracks.
