Copy Motions and Votes

The copy motion and vote feature in the Minutes module allows clerks to quickly copy motions and vote results from one agenda section or item to another within the same meeting. This can save time when multiple agenda items use the same motion or voting outcome.

A common use case is for Consent Agenda items. A clerk can record the motion and vote for the first item or section, then copy that information to the remaining items in the section instead of entering each vote manually.

When a motion is copied, certain settings are also carried over. For example, if randomized voting order is enabled, the randomized order will remain the same in the copied motion. Copied motions and votes can still be edited after they are applied.

This article will explain how to copy motions and votes between agenda items and sections in the Minutes module.

Important Note

Motion and vote information is stored only in the meeting minutes where it was created. This information is not tied back to the agenda items themselves. Because of this, copying or reusing agenda items in another meeting will not carry over motion or vote history.

Instructions

  1. Sign in to your solution if you have not already

  2. Navigate to the Meetings module:

    The Meetings Module option in the left-hand navigation menu.

  3. Select the agenda that you wish to create minutes for:

  4. Click the Go to Minutes button:

  5. Navigate to the View menu and select the Minutes Summary option from the dropdown list:

  6. Select the section or item with the motion and/or votes you wish to copy:

  7. Select the motion you wish to copy:

  8. Click the Copy button:

  9. Fill in the Copy Motion fields:

    • Motion Name (required): Update the motion name, if desired

    • Copy Options: Select a copy option

      • Copy Motion: Copy the selected motion

      • Copy Motion and Vote: Copy both the selected motion and its votes

    • Copy To: Check the Select All checkbox to copy the motion and/or votes to all sections and items associated with the meeting, or check the checkboxes next to the specific sections and items you wish to copy the motion and/or votes to

  10. Click the Copy button:

  11. The motion and/or votes have been copied, and you can continue working with the active section or item if desired

  12. Expand the Order of Business sidebar if it is not already opened:

    The button that can be clicked to expand or collapse the Live Meeting Manager Order of Business sidebar.

  13. Select a section or item that the motion and/or votes were copied to:

  14. Click the copied motion:

    An example "Accept as Read" motion that has been copied from another item.

  15. View and update the copied motion and/or votes as needed:
