Set Up & Manage Letter Templates in Boards and Committees

You can speed up the process of creating a letter to send to members of boards and committees by using a letter template. This article will show you how to configure a letter template.

Set Up a Letter Template

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then select the Boards and Committees option:

  4. Scroll to the Templates section and click the Letter Templates button:

  5. Click the Add button to create a new template:

  6. Add a Template Name in the Template Name field:

    The Template Name field.

  7. Add the text that will be included in the body of the template letter in the body field:

    Note:

    You can click and drag the Resize tool (triangle icon) to increase the size of the text box, or click the Maximize button (multi-directional arrows icon) to expand the text box to the full size of the browser window, if desired:

  8. Use the Paragraph Formatting and Text Formatting tools to format the look of the text, if desired:

    Note:

    You can click an HTML element at the bottom of the text box to quickly highlight text in the text box that reflects that element, if desired. In our example image, you could click the body button to quickly highlight all text in the text box, or click the p (paragraph) button to quickly highlight the active paragraph:

  9. Select items from the Merge Tags dropdown list to insert placeholders for dynamic content such as dates, titles, and contact information, if desired:

  10. Click the Source button to view and edit the HTML source code of the letter template, if desired:

  11. Click the Save button to save the template:

  12. The template has been saved and will now appear in the Letter Templates list:

Edit a Letter Template

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then select the Boards and Committees option:

  4. Scroll to the Templates section and click the Letter Templates button:

  5. Click the Edit button to the left of the name of the template you wish to modify:

  6. Edit the Template Name, if desired:

  7. Edit the text that will be included in the body of the template letter, as necessary:

    Note:

  8. Use the Paragraph Formatting and Text Formatting tools to format the look of the text, if desired:

    Note:

  12. The template has been edited:

Delete a Letter Template

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then select the Boards and Committees option:

  4. Scroll to the Templates section and click the Letter Templates button:

  5. Click the Delete button to the left of the name of the template you wish to delete:

  6. Click the OK button on the pop-up that appears to confirm the deletion:

  7. Your letter template has been deleted:
