View or Take Roll Call

This article will show you how to view the members in a meeting and indicate their Roll Call status, for example, Present, Present Not Voting, Absent, Excused.

Instructions

  1. Sign in to your solution if you have not already

  2. Navigate to the Meetings module:
    The Meetings Module option in the left-hand navigation menu.

  3. Select the agenda for the meeting you wish to view or take Roll Call for:
    An example agenda card.

  4. Click the Go to Minutes button:
    A white, rectangular Go To Minutes button below the User Menu and the Edit Agenda Settings button.

    Note:

    If your organization uses Minutes with Live Meeting Manager, you can check the Allow Board Members to join your meeting checkbox in the Live Meeting section of the Minutes Settings view if you have not already done so. This checkbox allows board members to join the meeting and record their roll call status in the Board Portal:

  5. Click the Roll Call button:

    The white, rectangular Roll Call button to the right of the meeting name.

    Note:

    The Roll Call button and Roll Call tracker are both visible in the top-right corner of all Minutes views (Minutes Settings, Minutes Summary, Minutes Speakers, and Minutes Preview).

  6. View the meeting's members:
    The member's list on the Roll Call modal.

  7. Hover over a member to select their roll call status manually:
    The roll call options that appear when hovering over a member name.

    • Present/Voting: Mark as present and a voting member

    • Present/Not Voting: Present, not a voting member

    • Absent: Unexcused absence

    • Excused: Excused absence

  8. Once you have selected a member's roll call status, you can remove or change their status by re-selecting their current status:
    A member status reselection.

  9. You can also select Mark All As Present and Voting to bulk update all statuses:

  10. Click Close once you are done updating member statuses:
    The white Close button in the lower-right corner of the Roll Call modal.

  11. Members' roll call statuses will appear updated in the roll call:
    The Roll Call Tracker section which displays the number of meeting members that fall into each roll call status.
