Create and Manage Tags

This document covers how to create and manage tags. You can use tags to categorize your organization's requests using any criteria you choose. Possibilities include:

  • Tagging requests from the media.

  • Tagging requests by the degree of complexity.

  • Tagging requests that are awaiting payment or some other requester response.

  • Keep track of requests for major incidents.

Create a Tag

  1. Log into your account

  2. On the Admin drop-down menu, click Tags The Tags option is highlighted on the Admin drop-down menu.

  3. Click the Create Tag button The blue Create Tag button is highlighted to the upper-right of the list of tags.

  4. Create a Tag Name On the Create Tag pop-up window, the Tag Name field is selected.

  5. (Optional) Add a Description and assign a Category. The optional Description and Assign Category fields are highlighted on the Create Tag pop-up window. No category is assigned.

  6. Click the Save button The blue Save button in highlighted below the Assign Category drop-down menu.

Edit a Tag

  1. Log into your account

  2. On the Admin drop-down menu, click Tags The Tags option is highlighted on the Admin drop-down menu.

  3. Click the Edit button (pencil icon) next to the tag you want to edit The Edit button, indicated by a pencil icon, is highlighted in the actions column next to the tag.

  4. Edit the Tag Name The Tag Name field is highlighted. Entered into the field is 'City Clerk'.

    Note:

    This is a required field, indicated by the asterisk next to the field's name.

  5. (Optional) Update the Tag Description The Tag Description field is selected with no text entered into the field.

  6. (Optional) Select the tag's Category using the drop-down menu The Category drop-down menu is highlighted with 'No Category' selected.

  7. Click the Save button (green circle with a checkmark) in the Actions column to save changes The circular green, with a checkmark, Save button is highlighted in the actions column.

Deactivate A Tag

Important Notes

  • Because you can now deactivate tags, you can also activate them again if you decide you want to use them. Turn on the toggle for "show deactivated tags" to add deactivated tags to your list of tags, and then click Activate to reactivate them.

  • Deactivated tags cannot be edited. If you need to edit a deactivated item (for example to free up the name), first reactivate the item, then deactivate it again when you are done editing

  • A deactivated tag will not be shown in the tag selection drop-down on the request page or the tag filter on the All Requests page. A deactivated tag that was previously added to a request will still be displayed and can be removed

  1. Log into your account

  2. Open the Admin drop-down menu and click Tags The Tags option is highlighted on the Admin drop-down menu.

  3. Click the archive button (file cabinet icon) next to the tag you want to remove The Archive button, indicated by a filing cabinet, is highlighted in the table's Actions column.

  4. Click the Ok button on the pop-up message that reads: Are you sure you want to archive this tag? The blue, Okay button is higlighted on a pop-up message confirming the archive action.

Tag Categories

If your portal has a large number of tags, categories will help you organize them into customizable groups. When you click on the Tags sub-header, you'll now see two tabs - one for the tags and one for categories.

Add a Category

  1. Log into your account

  2. Open the Admin drop-down menu and click Tags The Tags option is highlighted on the Admin drop-down menu.

  3. Select the Categories tab The Categories tab is highlighted above the Tag filter options.

  4. Click the Create Category button at the upper right above the list of tag categories The blue Create Category button is highlighted to the upper-right of the list of categories.

  5. Enter the Category Name The Category Name text field is selected on the Create Category pop-up window.

  6. (Optional) Add a Description and Attach Tags that you want to associate with this category The optional Description and Attach Tags fields are highlighted on the Create Category pop-up window. No tags are selected.

  7. Click the Save button The blue, rectangular Save button is highlighted below the Attach Tags field.

Edit a Category

  1. Log into your account

  2. Open the Admin drop-down menu and click Tags The Tags option is highlighted on the Admin drop-down menu.

  3. Click the Categories tab The Categories tab is highlighted above the Tag filter options.

  4. Click the Edit button (pencil icon) next to the tag category you want to edit The Edit button, indicated by a pencil icon, is highlighted in the Actions menu next to the chosen category.

  5. Edit the Category Name The category Name field is selected. The Name currently reads, 'Code Enforcement Tags'.

    Note:

    This is a required field, indicated by the asterisk next to the field's name.

  6. (Optional) Update the Category Description The Category Description field is selected. There is no text entered.

  7. (Optional) Edit the Tags Attached to the category A Noise complaint tag is entered into the selected Tags Attached field.

  8. Click the Save button (green circle with a checkmark) in the Actions column The circular green save button is highlighted next to the tags attached to the category.

Delete a Category

Unlike tags and other features in the admin panel, categories can be deleted instead of deactivated.

  1. Log into your account

  2. Open the Admin drop-down menu and click Tags The Tags option is highlighted on the Admin drop-down menu.

  3. Select the Categories tab The Categories tab is highlighted above the Tag filter options.

  4. Click the Delete Category button (trash can icon) next to the category you want to delete The delete button, indicated by a trash can, is selected in the Actions column next the edit button.

  5. Click the Ok button on the pop-up message that reads, Are you sure you want to PERMANENTLY delete this category? The blue, OK button is selected on a pop-up window to confirm permanent deletion.
