Learn how to add office closures to your portal and notify requesters.

In NextRequest you can optionally skip over federal holidays in your due date settings by selecting modified calendar days, or business days. Now you can add holidays or other office closures to the holiday list used in these due date calculations and automatically notify your requesters of the adjusted due date.

For example, let's say your office is closed on the day after Thanksgiving. This day is not currently a federal holiday but local offices are commonly closed. Now you can add this date to your holiday calendar. If a requester submits a request that is affected by that holiday, the due date will adjust automatically to skip over that holiday, and in an email to the requester, you can optionally include the holiday closure dates so that they know why the due date is adjusted.

Important Notes

  • The Custom Holiday Calendar is accessible within your Portal Settings by Admin users.

Add a Holiday

  1. Log into your account

  2. Click Portal Settings on the Admin drop-down menu Portal Settings option in Admin menu drop-down.

  3. Click Customize Holiday Calendar under the Policies heading in the left-hand navigation menu The 'Customize Holiday Calendar' option is highlighted in the left-hand navigation menu under the 'Policies' heading.

  4. Click the Add a Date button below the list of closure dates Below the list of Closure dates, the blue, rectangular 'Add a Date' button is highlighted.

  5. Choose an option to set the Closure Date: In the Office Closure Date pop-up window, the Closure date options are highlighted. There are no dates selected.

    • Type a date The text entry field for adding a Closure Date is highlighted. The field uses the mm/dd/yyyy date format.

      Note:

      Must use the date format of mm/dd/yyyy. For example, 01/01/2023.

    • Click the Calendar button and select a date from the calendar The calendar button opens an interactive calendar to select a date. The month shown is May 2023.

      1. Click the Select Date button The blue, rectangular Select Date button is highlighted to the lower-right corner of the interactive calendar.

  6. Enter a Closure reason for the requester The text entry field for the Closure Reason is selected and reads, 'Add a title as to why the office is closed'.

  7. Click the Save button The blue, rectangular Select Date button is highlighted to the lower-right corner of the pop-up window.

Edit a Holiday

  1. Log into your account

  2. Click Portal Settings on the Admin drop-down menu Portal Settings option in Admin menu drop-down.

  3. Click Customize Holiday Calendar under the Policies heading in the left-hand navigation menu The 'Customize Holiday Calendar' option is highlighted in the left-hand navigation menu under the 'Policies' heading.

  4. Click the Edit button (pencil) next to the closure date you want to update The Edit button, a pencil icon, is highlighted in the table's 'Edit' column, next to New Year's Day.

  5. Update the Closure Date The Closure Date entry options are highlighted on the 'Office Closure Date' pop-up window. The current closure date is 01/01/2023.

  6. Update the Closure Reason The text editor for the Cloure Reason is highlighted. The field read's 'New Year's Day'.

  7. Click the Update Date button The blue Update Date button is highlighted in the lower-right corner of the 'Office Closure Date' window.

Delete a Holiday

  1. Log into your account

  2. Click Portal Settings on the Admin drop-down menu Portal Settings option in Admin menu drop-down.

  3. Click Customize Holiday Calendar under the Policies heading in the left-hand navigation menu The 'Customize Holiday Calendar' option is highlighted in the left-hand navigation menu under the 'Policies' heading.

  4. Click the Delete Date button (trash can) next to the holiday you want to delete The Delete button, a blue trash can, is highlighted next to New Year's Day, in the the table's delete column.

  5. Click the Delete button on the pop-up message that reads: Are you sure you want to delete this office closure date? The blue, rectangular Delete button is highlighted in the lower-right corner of the pop-up window that reads, 'Are you sure you want to delete this office closure date?'

Notify Requesters

There are a few ways you can notify requesters about office closures. You can add these dates to your Make Request page, or you can add a template and set it as your initial contact response during the time you are closed. You can also check a box in the Customize Holiday Calendar menu to notify affected requesters automatically.

  1. Log into your account

  2. Click Portal Settings on the Admin drop-down menu Portal Settings option in Admin menu drop-down.

  3. Click Customize Holiday Calendar under the Policies heading in the left-hand navigation menu The 'Customize Holiday Calendar' option is highlighted in the left-hand navigation menu under the 'Policies' heading.

  4. Above the list of Closure Dates, check the box labeled Notify requesters of office closures upon request made Above the list of holiday closure dates, the checkbox to 'Notify requesters of closures upon request made' is selected. The check box is empty.

    Note:

    At the start of every new year, the calendar prepopulates with the holidays of the following year.

  5. Emails sent to requesters acknowledging their requests will automatically include a list of upcoming closure dates A template response to a request, letting a customer know the offices are closed.
