This article outlines the phases of a Process Automation and Digital Services software implementation project. It provides a general description of the actions and estimated time commitment expected of you to prepare your system for launch. Some items and tasks may not apply depending on your configuration, features, or internal technical resources.

Phase One Checklist: Initiate

Estimated Time Commitment: 1 to 2 hours

  • Review the implementation welcome materials

  • Complete the Implementation Assessment

  • Identify internal stakeholders who will participate in configuration, testing, and approvals

  • Coordinate internal availability for upcoming meetings and training


Phase Two Checklist: Analyze

Estimated Time Commitment: 1 to 2 hours

  • Attend the Project Kickoff Meeting (approximately 30 minutes)

  • Review the follow-up email outlining the scope and project timeline

  • Provide approval of the project timeline

  • Participate in the Power Automate Information / Introduction session (approximately 1 hour)


Phase Three Checklist: Optimize

Estimated Time Commitment: 3 to 5 hours

  • Attend the Consulting Call

  • 30 minutes for Power Automate-only implementations

  • 30 minutes for SDK or developer-supported implementations

  • Complete Administrator Training (self-guided) (approximately 1 hour)

  • Attend Forms Training Part 1 (approximately 1 hour)

  • Attend Forms Training Part 2 (approximately 1 hour)

  • Begin configuring forms, workflows, and settings based on training guidance


Phase Four Checklist: Educate

Estimated Time Commitment: 3 to 9 hours

  • Complete system testing (Estimated 1 to 3 hours per testing cycle)

  • Review and validate workflows and automations

  • Participate in the Power Automate Transfer session (approximately 2 hours)

  • Approve Power Automate flows

  • Attend the Check-In Meeting (approximately 30 minutes) to review readiness and remaining items

Additional testing or configuration time may apply depending on the complexity of workflows, integrations, or internal review processes.


Phase Five Checklist: Launch

Estimated Time Commitment: Varies

  • Confirm confidence in system setup and workflows

  • Complete final approvals

  • Coordinate internal go-live timing

  • Launch Process Automation and Digital Services

  • Complete the post-launch survey on AskNicely


What to Expect After Launch

Following launch, your implementation project will conclude, and ongoing support will transition according to your support plan. Your CivicPlus team will remain available to assist with optimization and future enhancements.
