D7. Close Out and Over/Short Transactions

Previous Step: A/R Center

The Close Out feature can be used in Recreation Management to track Cash and Check totals received at a cash drawer  at the end of a business day for deposits.

The Over/Short Transaction feature can be used to track when there is an overage or shortage in a cash drawer and it can be recorded for the Close Out and assigned to an appropriate GL code.

Important Note:

The Close Out feature is optional to use. Choosing to not utilize the Close Out Module will not impede your abilities to use Recreation Management.

When to Use

Some examples of using the Over/Short Transactions feature can include:

  • When a cash drawer is over or short and does not match reporting, you can use this tool to report the payment type that is off, as well as any impacted GL code.

How to Apply

While learning how to utilize Close Out and Over/Short Transactions, you may experience areas where you have questions. If you have any questions or run into issues, please keep track of them so your CivicPlus representative may address them.

Please complete the following:

Practice generating a close summary or close detail.

Practice closing out transactions for your close. Remember: You only need to add Cash and Check Totals

Practice generating a Finance Batch Export (only if this will be a part of your regular duties. Admin-level permission only.

Practice recording an Over/Short Transaction by first attempting to close with an incorrect amount of Cash and Check Total
