Upload and Manage MuniDocs Documents

The MuniDocs Upload feature allows you to add non-code documents to your municipality's portion of the code library. The documents become instantly browsable and accessible alongside your online code. This article will show you how to upload, download, edit, move, and delete documents within the MuniDocs Upload interface.

Upload a Document

  1. Navigate to your Dashboard The Online Code Hosting dashboard.

  2. Scroll down to the MuniDocs Upload tile and select your municipality The MuniDocs Upload section with an example municipality listed.

  3. Select the type of document you are uploading from the list of categories A shortened list of available document types.

    Note:

    Document types are predefined to provide a consistent user experience. If you do not see a document type listed that you would like to use, you can contact CivicPlus Support to request that it be added.

  4. Select an existing folder to open and view it, click New Folder to create and name a new folder, or skip to step 5 to upload the file to the current location An existing folder and the New Folder button.

    Note:

    You can create as many nested folders as needed to organize your documents. Folders that have a four-digit year as their name ("1999" for example) will automatically have a sort date of January 1st of that year.

  5. Select Upload Files once you have navigated to the desired folder location The Upload Files button.

  6. Drag and drop the desired file(s) or click inside the Upload Files box to select the file(s) using your system's File Explorer dialog drag and drop files or click the box to upload

    Note:

    You can only upload .DOC, .DOCX, .PDF, and .RTF files up to 50 MB in size. Non-PDF files will be converted to PDFs before uploading.

  7. A status bar will appear and show the progress of the upload The File Upload status bar.

  8. Click the X to close the upload dialog box and return to the folder click x to close upload box

  9. Your document(s) will appear in the desired folder folder with desired document


View or Download a Document

  1. Navigate to your Dashboard The Online Code Hosting dashboard.

  2. Scroll down to the MuniDocs Upload tile and select your municipality The MuniDocs Upload section with an example municipality listed.

  3. Select the desired document type from the list of categories A shortened list of available document types.

  4. Navigate to the folder that has the desired document An existing folder with the desired document.

  5. Select View in Library (diagonal arrow icon) next to the desired document to view it in the code library The View in Library button.

    Note:

    Selecting the View In Library link below the New Folder button will take you to the section of the code library that has the full contents of the folder your document is in.

  6. Select Download .doc/.rtf/.docx (Word document icon) next to the desired document to download the originally uploaded version of it (if it was a Word file) The Download Word document button.

  7. Select Download PDF (PDF file icon) next to the desired document to download the PDF version of it, which can also be viewed in the code library The Download PDF button.


Edit a Document

  1. Navigate to your Dashboard The Online Code Hosting dashboard.

  2. Scroll down to the MuniDocs Upload tile and select your municipality The MuniDocs Upload section with an example municipality listed.

  3. Select the desired document type from the list of categories A shortened list of available document types.

  4. Navigate to the folder that has the desired document An existing folder with the desired document.

  5. Select Edit (pencil icon) next to the desired document The Edit button.

  6. Edit the Name and Sort Date of the file, if desired The File Name and Sort Date fields.

    Note:

    The original file name will appear above the current file name.

  7. Click Submit to save your changes The green, rectangular Submit button to the right of the Sort Date field.


Move a Document

  1. Navigate to your Dashboard The Online Code Hosting dashboard.

  2. Scroll down to the MuniDocs Upload tile and select your municipality The MuniDocs Upload section with an example municipality listed.

  3. Select the desired document type from the list of categories A shortened list of available document types.

  4. Navigate to the folder that has the desired document An existing folder with the desired document.

  5. Hover over the desired document's title, sort date, or action buttons, and check the box that appears to the left of the file(s) that you want to move A document selection check box.

  6. Click Move Item The blue, rectangular Move Item button to the right of the desired document.

    Note:

    You can also delete one or more files by following the instructions in this section and selecting the Delete Item button that appears below the Move Item button in this step.

  7. Select the desired new folder in the Bulk Move box A new folder destination.

  8. Click Move The blue, rectangular Move button in the lower-right corner of the Bulk Move modal.

  9. The selected document(s) will no longer appear in the current folder The example document removed from the original folder.


Delete a Document

  1. Navigate to your Dashboard The Online Code Hosting dashboard.

  2. Scroll down to the MuniDocs Upload tile and select your municipality alt

  3. Select the desired document type from the list of categories A shortened list of available document types.

  4. Navigate to the folder that has the desired document An existing folder with the desired document.

  5. Select Delete (X icon) next to the desired document The Delete button.

    Note:

    To delete multiple documents at one time, follow the instructions in the Move a Document section above, and select the Delete Item button instead of the Move Item button in step 6.

  6. Select Delete in the pop-up box that appears to confirm the deletion The red, rectangular Delete button in the lower-right corner of the deletion confirmation pop-up.

  7. The selected document has been deleted The example document removed from the original folder.
