This article explains how to add an owner, or an additional owner, to a property. Every property requires at least one owner, though you can certainly have more if needed. You can add an owner to a property when you first create a new parcel, or you can add one by editing an existing parcel. No matter which method you choose, the steps for adding an owner are exactly the same.

Add a New Owner to a Parcel

  1. Sign in to your site

  2. Go to Asset Management, expand Property Management, and select Search:Community Development dashboard. The Asset Management and Property Management menu is selected. Search under Property Management is highlighted.

  3. Search for the parcel you want to add an owner to:Property Management page. Breadcrumbs show Home, Asset Management, Property Management, and Search. Heading reads Search All Property Entries. Search bar for property entries is highlighted.

  4. In the search results, locate the property and click on the Edit Record icon under Actions:Search results page. An Edit Record icon in the Action column is highlighted.

  5. Scroll down to the Owner and Contact Information section. Then click on the Add Primary Owner button: Owner and Contact Information section is shown. An Add Primary Owner button is highlighted.

    • This brings up the Add Contact form: Add Contact screen is shown. It contains sections for Primary Contact Information and Additional Information, with various input fields. Save Contact, Cancel, and Clear Content buttons are at the bottom.

  6. In the Contact Name field, you will have two options:

    • You can begin typing a name. The system will present existing contacts that match what you are typing. You may select one: Add Contact screen is shown. The Contact name field has Lily Cat entered. A suggested contact Lily Cat with a phone number is highlighted.

    • If the contact you want is not there, type their full name into the Contact Name field. Then, choose Create "name you entered" from the to add a new contact: Primary Contact Information section is shown. The Contact name field has Blaise Cat entered. The option to Create Blaise Cat is highlighted.

    • You can use this new contact for other records later:

      If there is already a primary owner, and you wish to add another one, click Add Additional Owner. Follow these same steps to add the next owner:                   Owner and Contact Information section is shown with owner details filled. An Add Additional Owner button is highlighted.

  7. If you are creating a new contact, the Primary Number and Primary Email fields are required. All others are optional. Contact Type is required, and is filled in automatically: Add Contact screen is shown. The Primary Number and Primary Email fields are highlighted.

    • Contact Name: Add the contact name for the primary contact

    • Contact Type: When you add a new primary contact, the Contact Type is automatically set to Owner

    • Billing Type: The dropdown menu lets you choose how to bill the main contact. You can pick Primary, Secondary, or None

    • Primary Number: Enter the primary phone number

    • Add Additional Phone: This option allows you to add additional phone numbers to the record

    • Primary Email: Enter the primary email address

    • Add Additional Email: This option allows you to add additional email addresses to the record

    • Title: Add any applicable titles, such as property manager, trustee, director, or agent

    • Address: Add an additional address, if applicable

    • Notes: Add any notes, if needed

      Note:

      If you are editing a contact, the same fields are required. You may edit any field. Just know that if you change the contact, it will affect all other records where that contact is listed.

  8. Click the Save Contact button:The Save Contact button is highlighted.
