Property Import | Elevate (V5)

Overview

Use Property Import to import parcel, building, and suite data into Property Management. You can import data from:

  • CSV file

  • SFTP

  • REST API

SFTP and REST API imports support scheduled imports. This allows the system to automatically import updated data on a recurring schedule, such as weekly or monthly.


Before You Begin

Required Field

Your import file must include a Parcel ID.

Parcel ID is required because the system uses it to identify each property. Without it, the import cannot match or create parcel records.

Import Order

When importing multiple property record types, import them in this order:

  1. Parcels

  2. Buildings

  3. Suites

This order ensures buildings are associated with the correct parcels, and suites are associated with the correct buildings. If suites are imported first, the system cannot determine which parcel they belong to.


Import Property Data

Important Note:

This article uses parcel imports as an example. The import process is the same for parcels, buildings, and suites (Other Data). Follow the same steps in this article to import building or suite data.

  1. Sign in to your site.

  2. Navigate to Admin Tools:

  3. Click the Parcels tile:

  4. Click on Property Import:

  5. Navigate to the Import new parcel data section, and click on the New Parcel Import button:

    Note:

    If you have previously imported parcel data, you will be prompted to confirm that you want to start a new import. Starting a new import will overwrite your current Community Development parcel import settings. Click the Yes button to continue:

  6. Select an Import Type from the dropdown menu:

    • The available Import Types are CSV, SFTP, and REST API

  7. Choose a file to upload:

    • Choose CSV To Upload Button: Select a CSV file from your device to import

    • CSV URL: Enter the URL of a CSV file to import from the web

      Note:

      After you select a file, the file name appears below the upload button to confirm it was added successfully. Select the X to remove the file, then choose a different one before starting the import if needed.

  8. Click the Start Upload button:

  9. The file has been uploaded. You can now begin mapping fields from the parcel data upload:

Map Fields

After the file is uploaded, the system reads the column headers and prompts you to map each column to a property field.

If you are updating existing property data, see Update Existing Properties.

  1. Select an option from the Map Table Field to map the Import field name column:

    Note:

    You do not need to map every column. Only map the fields you want to import.

  2. The available field list includes many additional property fields that can be imported, such as assessor data and other parcel information:

  3. Click the Save Mappings button:

  4. Click the Import Now button:

  5. After the parcel data is imported, you can view the Last Import date and time. You can also view the Source Data. The Source Data is view only:

Update Existing Properties

To update existing parcel records:

  1. Run another import

  2. Select the new import file

  3. Review the existing field mappings to ensure they are still accurate. Most importantly, the Parcel Number or ID mapping must remain the same

  4. Incorrect field mappings, especially for Parcel Numbers or IDs, can create duplicate parcels. They can also import data into the wrong fields or the wrong parcel records

The system matches records by Parcel ID and updates the mapped fields for existing parcels.
