You can create a transcription rule on the Workbench tab in DocAccess. This allows you to specify how content or formatting is applied in all of your documents, or for specific document types. For example, you can add a rule regarding how your logo should be described in alt text.

Log in to the DocAccess website
Navigate to the Workbench tab

In the Transcription Rules section, click + New Rule

Fill out the fields:

Rule Name: Add a short name for the rule (such as Ensure Logo Description).
Description: Add a description of what the rule does.
Rule Type: Select a type from the drop-down
Adjust Content: Modify how content is described in alt text, headings, and transcriptions.
Adjust Formatting: Adjust visual styling such as alignment, spacing, and table formatting.
Adjust Functionality: Modify interactive elements such as forms. Use with caution.
Transcription Agent Instruction: Add instructions for the transcription rule (such as, whenever encountering ACME's logo, please be sure to describe it as an Eagle and a Sphere in alt text).
Detection Criteria: Describe when this rule should automatically apply. During preprocessing, DocAccess evaluates this condition against the document. If left blank, this rule will only apply when explicitly enabled.
Apply To: All documents will be selected by default. To modify, uncheck the box and select the Document Types you want to apply the rule to.
Click Save Rule

Toggle on the rule to enable it on your site
