History/Reports

In the History/Reports section, the details of sent alerts and polls can be viewed. You can also reply to, forward, or resend past notifications if needed. This article will show you how to view the history of alerts and polls.

Important Notes:

  • For Text Messages, the Sent status indicates that the SMS (text) alert message was sent to the carrier. The Delivered status indicates that the carrier delivered the message to the recipient.

View the History of a Single Alert/Poll

  1. Sign in to the system if you have not already

  2. Navigate to History/Reports Mass Notification system dashboard and left menu with the History/Reports option highlighted.

  3. Select the preferred notification An example notification highlighted on the Alerts History page.

    Note:

    You can use the Filter option to narrow down the notifications list.

  4. View the notification information An example Alert Details page with a summary section and a set of three tabs.

    • Summary: View basic details about this notification

      • Subject: The subject of the alert or poll

      • Poll Question/Message: If the alert is a poll (pictured), this field will be labeled Poll Question and will display the question sent to poll recipients; if the alert is a message (not pictured), this field will be labeled Message and will display the text of the message sent to alert recipients

      • Poll Options/External Link: If the alert is a poll (pictured), this field will be labeled Poll Options and will display the response options that recipients could choose from; if the alert is a message (not pictured), this field will be labeled External Link and will display a URL that can be clicked to view the sent message online

      • Type: The emergency or non-emergency designation for this notification

      • Sent On: The date and time the notification was sent

      • Expired: The date and time the notification is set to expire

      • Sender: The name of the user that sent this notification; hover over the square and diagonal arrow icon next to the sender's name to view their email address or click the icon to view the sender's details

      • Delivery Methods: View icons that indicate the delivery methods for the alert

      • Recipients: The number of people who received this notification

      Note:

      Some Summary fields are not depicted in the screenshot above. The fields that appear in the Summary section depend on the type of notification (alert or poll), the fields present in the selected alert form, and the fields that are filled in on the selected alert form.

    • Information tab: For Polls (pictured), this tab will display the poll question, poll results, and the poll keyword; for alert messages, this tab will show the message content

    • Recipients tab: This tab will display the number of recipients as well as the names of recipients and the delivery methods used for each; you can use the Recipients filter to filter alerts and poll recipients by name and email address, and you can click a recipient name or delivery method to view recipient or delivery details, respectively

    • Delivery tab: This tab will display delivery results by delivery method, including the names of recipients and delivery status; you can click the Export button under each delivery method to download an Excel spreadsheet of the delivery details

  5. If actions need to be taken, click the green Left Arrow button within the Summary section and select an option A green, circular left-arrow button and a dropdown menu with three options.

    • Reply All: Send an update to all recipients

    • Forward: Send the alert/poll to new recipients

    • Resend: Resend the alert/poll to chosen recipients

View the History of Multiple Alerts/Polls

  1. Sign in to the system if you have not already

  2. Navigate to History/Reports Mass Notification system dashboard and left menu with the History/Reports option highlighted.

  3. Click Export All to download an Excel file with details for all previously sent notifications A white Export All button with blue text in the top-right corner of the Alerts History page.

  4. Or click the checkbox next to each notification that you wish to view details for A column of checkboxes to the left of the options in the Alerts Hisotry list.

    Note:

    • You can use the Add Filter option to narrow down the notifications list. A white Add Filter button outlined with a dotted blue line.

    • You can click the Select All checkbox to automatically select all notifications on the active page A gray and white Select All checkbox below the Add Filter button.

  1. Click Export Selected to download an Excel file with details for all selected notifications A white Export Selected button with blue text in the top-right corner of the Alerts History page.

  2. Open and view the Excel file with the alerts/poll details
