Add Standing Items

Standing Items are items that will always appear on the agendas of specific meeting types. Standing items behave almost identically to regular items, except they are defined at the Meeting Template and are automatically created whenever a meeting of that template type is created. This article will show you how to add a standing item to a Meeting Template.

Instructions

  1. Sign in to the system if you have not already

  2. Select Meeting Template in the left menu Meeting Template option in the left-hand navigation menu.

  3. Click the Select drop-down menu and choose the desired template from the list The Meeting Templates page Select drop-down list with example meeting template options.

  4. Click Edit A red, rectangular Edit button that can be clicked to unlock the displayed meeting template.

  5. Click the Add Standing Item button (plus-sign icon) next to the section in which you want the standing item A square, black and white Add Standing Item button.

  6. The standing item will appear below the selected section A newly created example standing item within the Meeting Template Structure section.

  7. Click the name of the standing item to rename it, if desired An example standing item name field during the rename process.

  8. Click the standing item again to make the Agenda Content pane reappear An example standing item that has been selected with its Agenda Content pane displayed.

  9. Enter an item description in the Agenda Content text box, if desired The Agenda Content text box.

  10. Use the Text and Paragraph Formatting tools to format the look of the agenda content text, if desired Text and Paragraph Formatting tool buttons, including bold, italic, and justify.

  11. Drag and drop a file onto the drop file here to upload field, or click the Upload button and select a file to upload an attachment to the item, if desired The two attachment upload options for standing items.

  12. Click the Download button (Microsoft Word icon) to download the standing item's Agenda Content as a Word document, if desired A square, blue-and-white Download button below the Minutes tab.

  13. Click the Upload button (up arrow icon) to upload the standing item's Agenda Content as a Word document, if desired A blue-and-gray Upload button below the Minutes tab.

  14. Click the Save button (floppy disc icon) to save changes to the standing item's Agenda Content A blue-and-white Save button below the Minutes tab.

  15. Click the Update button to save all changes A red, rectangular Update button above the Minutes tab.

  16. Repeat Steps 5-15 as necessary

  17. The standing item(s) will appear on future agendas of the selected Meeting Template

    Note: Create a meeting with standing items by following the steps in the Create a Meeting section of the Create and Manage Meetings article, just like you would any other meeting. Once the meeting has been created, you can open the meeting's Meeting Detail Screen and find all of the standing items automatically created and assigned to the appropriate section on the Build tab.
