Use the Legislator Interface

The Legislator Interface allows legislators to access meeting documents and, if enabled, vote directly from any browser on their computer or tablet during meetings. This article will show you how to navigate the Legislator Interface.

Important Notes

Find Meeting Documents

  1. Sign in to your solution if you have not already

  2. Select Meeting List (calendar icon) in the left menu
    The Meeting List option in the navigation menu.

    Note: The options available in your left menu may differ from the ones shown here, depending on your user permissions.

  3. Scroll to view all current and future meetings, if applicable Example meetings.

  4. Click Filters at the top of the screen to hide or unhide the Meetings filters; use these to narrow down the list of meetings, if desired The Meeting List filters.

    • Show Meetings: Select an option to display all meetings, only meetings that will take place in the future, or meetings that fall within a specific timeframe

      Note: The default Show Meetings setting for the Legislator interface is Future Only.

    • Meeting Name: Enter keywords or phrases that may appear in the desired meeting's name

    • Locked?: Select an option to display all meetings, only meetings that are unlocked and editable, or only meetings that are locked and not editable

    • Meeting Types: Select one or more options to view meetings that fall within specific meeting types

    • Search: Select this to conduct a meeting search using the filters you have selected

    • Reset: Select this to clear all search filters

  5. Click on a document icon to view the relevant file Document icons.

    • Agenda

      • Document and PDF icon: Click this to open and view the agenda for this meeting as a PDF file

      • Document and Microsoft Word icon: Click this to download the agenda for this meeting as a Microsoft Word file

    • Private Packet

      • PDF and keyhole icon: Click this to download the private or confidential packet for this meeting as a PDF file, if applicable

    • Packet

      • PDF and globe icon: Click this to download the public packet for this meeting as a PDF file

    • Minutes

      • People icon: Click this to open and view the Public In-Meeting display for this meeting

      • Notebook and PDF icon: Click this to open and view the minutes for this meeting as a PDF file

      • Notebook and Microsoft Word icon: Click this to download the minutes for this meeting as a Microsoft Word file

        Note: While the globe icons near the agenda, packet, and minutes icons cannot be selected, they provide context for their associated documents. A gray globe indicates that a document has not been created. A red globe indicates that a document has been generated but not yet published. A green globe indicates that a document has been generated and published online.


Vote on an Item

Organizations with Direct Voting enabled may allow legislators to vote on items from their computers or tablets.

  1. Sign in to your solution if you have not already

  2. Select Voting (check box icon) in the left menu The Voting option in the navigation menu.

    Note: The options available in your left menu may differ from the ones shown here, depending on your user permissions.

  3. If Voting has not yet been opened by your Clerk or Agenda Manager, you will see a Voting is not Open! message An example Voting is not Open message.

    Note: Click Refresh to prompt your browser to check if voting is open again.

  4. If voting is open, you will see the name of the item being considered and your voting options An example screen with voting open.

  5. Click Yea, Abstain, or Nay to indicate your choice The voting options.

  6. Click Submit Vote to record your vote The Submit Vote button.

  7. A message will appear confirming that your vote has been accepted The vote accepted message.

  8. Click Refresh to reload the Voting screen when your Clerk or Agenda Manager indicates that they have opened voting again The Refresh button which appears after voting confirmation message.
