Add & Manage Board Roster Members in Boards and Committees

This article will show you how to add, edit, and delete members of a board roster.

Important Note

A person must be added to the Boards and Committees module before they can be added to a board roster.

Add Members to a Board Roster

  1. Sign in to your solution if you have not already

  2. Navigate to User Menu, then select the Boards and Committees option:The User Menu with the Boards and Committees option highlighted.

  3. Click the Boards tab:The Boards tab with a three-person icon in the upper-left corner of the Boards and Committees module.

  4. Select the board you want to add members to:An example board in the Boards list.

  5. Click the Roster tab:The Roster tab in the left navigation menu.

  6. Click the Add Member button next to a vacant position:The green, rectangular Add Member button at the end of a vacant roster row.

  7. Fill in the Roster fields:The member roster fields.

    • Search People: Search and select a person to add as a board or committee member

    • Position/Seat: Auto-generates position number based on vacancy selected

    • Term: Specify how many terms this member has

    • Note: Provide any additional notes

    • Appointed By: Choose who/which position (for example, Mayor) appointed this member

    • Role: Specify the role of the member

    • Status: Specify the status of the member

    • Appointment Date: Specify the date of appointment

    • Term Start/End Date: Specify the start date and end date of this term

    • Resignation Date: Specify the date of resignation (if applicable)

  8. Click the Save button to add the member to the board roster:A green, rectangular Save button in the lower-right corner of the roster fields section.

  9. Repeat Steps 6 through 8 to add additional members as necessary


Edit a Member of a Board Roster

  1. Sign in to your solution if you have not already

  2. Navigate to User Menu, then select the Boards and Committees option:The User Menu with the Boards and Committees option highlighted.

  3. Click the Boards tab:The Boards tab with a three-person icon in the upper-left corner of the Boards and Committees module.

  4. Select the board with the member you wish to edit:An example board in the Boards list.

  5. Click the Roster tab:The Roster tab in the left navigation menu.

  6. Click the Actions menu next to the desired roster member, and then select the Edit Current Appointment option from the dropdown list:The Actions menu with the Edit Current Appointmen option highlighted.

    Note:

    You can select the Reappoint Member option to renew the same member in the same position for another term.

  7. Edit the Roster fields as desired:The member roster fields.

    • Search People: Search and select a person to add as a board or committee member

    • Position/Seat: Auto-generates position number based on vacancy selected

    • Term: Specify how many terms this member has

    • Note: Provide any additional notes

    • Appointed By: Choose who/what position (for example, Mayor) appointed this member

    • Role: Specify the role of the member

    • Status: Specify the status of the member

    • Appointment Date: Specify the date of appointment

    • Term Start/End Date: Specify the start date and end date of this term

    • Resignation Date: Specify the date of resignation (if applicable)

  8. Click the Save button:A green, rectangular Save button in the lower-right corner of the roster fields section.

  9. The board roster member has been edited


Delete a Member of a Board Roster

  1. Sign in to your solution if you have not already

  2. Navigate to User Menu, then select the Boards and Committees option:The User Menu with the Boards and Committees option highlighted.

  3. Click the Boards tab:The Boards tab with a three-person icon in the upper-left corner of the Boards and Committees module.

  4. Select the board with the member you wish to edit:An example board in the Boards list.

  5. Click the Roster tab:The Roster tab in the left navigation menu.

  6. Click the Actions menu next to the desired roster member, and then select the Vacate Position/Delete this Record option from the dropdown list:The Actions menu with the Vacate Position/Delete this Record option highlighted.

    Note:

    You can click Vacate Position/Save to Past Appointments to keep a record of this member's term.

  7. Click the OK button in the pop-up box that appears to confirm that you want to vacate this position and delete this appointment record:The blue, rectangular Ok button on the vacate position and delete appointment popup box.

  8. The member has been removed from the board roster
