This article will show you how to approve Speaking Rights and/or manually grant Speaking Rights. Board Members can request Speaking Rights during a meeting.
Instructions
Sign in to your solution if you have not already
Navigate to the Meetings module:
Select the agenda that you wish to add a speaker to:
Click the Go to Minutes button:
Navigate to the Live Meeting section:
Ensure that Allow Board Members to Join is checked to allow members to join and request speaking requests:
Navigate to the View menu and select the Minutes Summary option from the dropdown list:
If there is a request, there will be a Speaker Icon below to the current item or section; select the icon:
Note:
If the item is not current, select Set Current
View the requests and select an option:
Edit: Select to edit information or click Delete Speaker or the X icon to deny a speaking request:
Delete: Click the trash can icon to delete the speaker and remove the request:
Note:
This option is not available after you select Call.
Call: Start the speaking time; this grants the speaking request:
Note:
The default speaking duration is 3 minutes.
Reset Timer: Reset the speaker's time:
Add Time: Give the speaker additional time:
Pause: Pause the speaker's time:
Resume: Resume the speaker's time:
End: End the speaker's time early:
When you grant time, a Time Left countdown timer will appear on your Clerk-view screen:
Note:
The timer will turn red when there are only 30 seconds remaining.
