Approve or Deny Speaking Rights Requests

This article will show you how to approve Speaking Rights and/or manually grant Speaking Rights. Board Members can request Speaking Rights during a meeting.

Instructions

  1. Sign in to your solution if you have not already

  2. Navigate to the Meetings module:The Meetings Module option on the left-hand navigation menu.

  3. Select the agenda that you wish to add a speaker to:An example agenda tile in the Meetings module.

  4. Click the Go to Minutes button:The white, rectangular Go to Minutes button below the User Menu and Edit Agenda Settings button.

  5. Navigate to the Live Meeting section:The Live Meeting section on the Minutes Settings page.

  6. Ensure that Allow Board Members to Join is checked to allow members to join and request speaking requests:The Allow Board Members to Join checkbox.

  7. Navigate to the View menu and select the Minutes Summary option from the dropdown list:The View drop-down menu with the Minutes Summary option highlighted.

  8. If there is a request, there will be a Speaker Icon below to the current item or section; select the icon:The Speaker icon below an example bookmark.

    Note:

    If the item is not current, select Set Current

    The white, rectangular Set Current button, which will turn red once clicked.

  9. View the requests and select an option:The Edit, Call, Add Time, Reset Time, and Trash Can options.

    • Edit: Select to edit information or click Delete Speaker or the X icon to deny a speaking request:The red, rectangular Delete Speaker button and the X icon to the right of a speaking request.

    • Delete: Click the trash can icon to delete the speaker and remove the request:The red and white, square trash can icon to the far-right of the Speaker row.

      Note:

      This option is not available after you select Call.

    • Call: Start the speaking time; this grants the speaking request:The blue, rectangular Call button in the Speaker row.

      Note:

      The default speaking duration is 3 minutes.

    • Reset Timer: Reset the speaker's time:The orange, rectangular Reset Timer button in the Speaker row.

    • Add Time: Give the speaker additional time:The green, rectangular Add Time button in the Speaker row.

    • Pause: Pause the speaker's time:The yellow, rectangular Pause button in the Speaker row.

      • Resume: Resume the speaker's time:The yellow, rectangular Resume button in the Speaker row.

    • End: End the speaker's time early:The red, rectangular End button in the Speaker row.

  10. When you grant time, a Time Left countdown timer will appear on your Clerk-view screen:The countdown timer to the left of the Now Displaying section at the top of the screen.

    Note:

    The timer will turn red when there are only 30 seconds remaining.
