Released Enhancements

AI Generated Minutes Now Available

AI Generated Minutes, powered by CivicPlus Intelligence, gives clerks a head start on meeting minutes. It turns a meeting’s closed caption file or Zoom transcript into draft discussion summaries organized by agenda item. You review, edit, and finalize them in one workspace while staying in full control of the official record.

Highlights

  • Agenda-aware AI summaries: Generate draft discussion summaries for each agenda section and item from a closed caption file (VTT or SRT) or a Zoom transcript. Generation takes approximately 2 to 5 minutes per hour of meeting.

  • New AI Minutes view: Review AI summaries alongside your own discussion notes and Minutes Snippets in a single workspace. A sidebar gives quick access to the agenda, transcript, and recording. When timestamps are available, selecting an agenda item jumps the recording to that point.

  • Edit, reorder, and reassign: Edit any summary with the rich-text editor, including the AI Editing Assistant. You can also drag cards to reorder them, reassign a summary to a different agenda item, reset it to the original, or delete it.

  • Speaker identification: AI Generated Minutes doesn’t use voice prints or voice recognition. It identifies speakers from context in the meeting, such as roll call, names and titles mentioned during discussion, and speaker labels in the transcript. Attribution may sometimes be missing or incorrect, especially for members marked absent at roll call, so review speaker references before finalizing.

  • Unmatched conversations: Discussion that can’t be confidently matched to an agenda item is set aside for your review, so you can assign it or dismiss it.

  • AI reference example: Select one published set of minutes for each meeting type as a style reference. Summaries will guide the AI on your preferred tone and level of detail.

  • Finalize AI Minutes: Merge reviewed summaries and discussion fields with one click, preview your minutes as a PDF, then generate and publish them through Agenda Files using your existing Minutes template.

  • Status banners: Clear banners show when a caption file is missing, when summaries are generating, when they’re ready, and when generation needs to be retried.

What Stays the Same

  • Motions, seconds, and votes are still recorded by you in the Minutes Summary with Minutes Snippets. AI Generated Minutes doesn’t create them.

  • Your Minutes template, approval process, and publishing workflow are unchanged.

  • Nothing is published automatically. All AI-generated content must be reviewed and finalized by a person.

  • Always review AI content: AI can make mistakes, just like a human drafter. Names, pronouns, dollar amounts, and dates are common trouble spots, and results can vary from one generation to the next. Check each summary against the transcript or recording, and edit it as needed before you finalize your minutes.

Requirements

  1. Agenda and Meeting Management Select with the Minutes module and CivicPlus Media (full streaming or Upload Only)

  2. A published agenda for the meeting

  3. A closed caption file (VTT or SRT) or Zoom transcript

Getting Started

AI Generated Minutes is available for an additional cost. To learn more or to have it enabled, contact your Customer Success Manager or Account Manager.

Agenda Creation Permission Validation

The system now enforces stricter permission boundaries when creating agendas in the Admin Portal. Users are prevented from attaching an agenda to an existing event if they do not have explicit permissions for that event's template. A clear error message will be displayed if a user attempts an unauthorized attachment.

Accessibility Updates

Board Portal Accessibility Color Contrast Improvements

The Board Portal color palette has been updated to meet WCAG 2.2 AA contrast standards. Key colors including blue, grey, and orange have been darkened to ensure text, icons, and borders provide sufficient contrast (4.5:1 for text and 3:1 for UI components). This update improves readability and accessibility for all users, particularly those with visual impairments.

Public Portal Enhanced Keyboard Focus Visibility

On the Public Portal, keyboard focus is now indicated by a high-contrast black-and-white ring on every control, ensuring visibility regardless of the tenant's custom color scheme. Additionally, focus indicators in the PDF viewer toolbar have been darkened to meet contrast requirements.

Public Portal Mobile PDF Viewer Pinch-to-Zoom

Mobile users can now reliably use two-finger pinch gestures to zoom into PDF documents within the Public Portal. Previously, this gesture would sometimes scale the entire viewer container instead of the document content. The zoom behavior is now consistent with standard mobile PDF viewing experiences.

PDF Generation Improved Underline and Image Accessibility

Generated PDF files now feature improved structural accessibility. Underline strokes are now correctly marked as decorative artifacts. This prevents screen readers from announcing them as unidentified graphic objects. Additionally, image alternative text and reading order are better preserved during Word-to-PDF conversion. This ensures a more accurate experience for assistive technology users.
