Text Snippets Overview

The Text Snippets feature lets you create a library of reusable words, phrases, and templates that can be quickly inserted into supported areas of the system. Using Text Snippets helps reduce repetitive typing and keeps commonly used language consistent across your organization.

Text Snippets can be used in agenda items, agendas, minutes, agenda scripts, emails, tasks, staff reports, and other supported documents. You can also organize snippets into custom groups to make them easier to find and manage.

Important Notes

  • You can create and manage Item Snippets, Minutes Snippets, Agenda Script Snippets, Email Snippets, and Task Snippets. Each snippet type uses the same fields and follows the same creation and management process.

  • You can organize text snippets into custom groups using Group Snippets. For more information, see our Create and Manage Group Snippets article.

Access Text Snippets Settings

  1. Sign in to your solution if you have not already

  2. Navigate to the User Menu, then select Settings:

  3. Click the Meetings tile:

  4. Click the Text Snippets tile:

  5. Navigate to the desired snippet type section (Item Snippets, Minutes Snippets, Agenda Script Snippets, Email Snippets, or Task Snippets):

Text Snippets

The Text Snippets page in Meetings Settings under Site Settings displays all snippets for the selected snippet type. It provides tools for creating, organizing, editing, and deleting snippets.

Snippet Lists

Snippet lists display the text snippets that have been created for the selected type.

The following information is available for each snippet type:

Field

Description

Title

The name of the text snippet.

Text

The text that will be inserted when the snippet is selected.

Group

The group the snippet belongs to, if one has been assigned.

Note:

Group Snippets include only the Title and Type fields. The Type field determines which type of content the group can be used with, such as Items, Minutes, or Email.

Actions

The following actions are available from the Text Snippets page:

  • New Snippet: Create a new text snippet

  • Edit (purple pencil icon): Update an existing text snippet

  • Delete (red trash can icon): Remove a text snippet

  • Edit Order: Change the display order of snippets

  • Group: Assign a snippet to a group to keep related snippets organized (available inside the “New Snippet“ and “Edit Snippet” dialogs)

Using Text Snippets

After a text snippet is created, it can be inserted into supported fields throughout the Meetings module instead of typing the same text repeatedly. Depending on the feature, snippets may be selected from a menu or inserted using the available snippet tools.
