Add a Bid

Important Notes:

  • Ensure that Allow Subscribers is selected if needed.

  • Job and Bid posting descriptions have a tendency to include XML code when copied and pasted. This code must be cleared from the code view for the front-end view to display correctly. We advise always typing directly into the editor box rather than copying and pasting from another source. You can use HTML Washer to clean the code. For more information, view the Remove Rich Text Formatting article.

  1. Sign in to your website solution

  2. Navigate to Modules and on the Content tab, select Bid Postings:Modules navigation menu with Bid Postings selected on the Content tab.

  3. Locate the category you would like to add a bid to and click the Choose an Action dropdown menu, then choose the Add Item option:Add Item option in the Actions drop-down next to a bids list.

  4. Fill in the appropriate details about the bid that is being posted:Form for adding bid details including title, dates, and contact information.

    • Bid Number: Number assigned to identify the bid

    • Bid Title: The title of the bid

    • Start Date/Start Time: When you would like the bid to be published

    • Publication Info: Add publication name

    • End Date/End Time: When you would like the bid status to change

      Note:

      A blank End Date will allow the bid to stay open until it is contracted

    • Submittal Info: How bids can be submitted

    • Bid Opening Info: If there are any special details about the bid opening

    • Status: Indicate the status of the bid

    • Addtl Status Info: If there are any additional comments about the bid status

    • Bid Recipient: The contact to receive bids

    • Description: Description of the bid

    • Qualifications: If there are any special qualifications to submit a bid

    • Special Requirements: If there are any special requirements for the bid

    • Miscellaneous Info: If there is any additional information about the bid

    • Addendum Date: Updated date, if applicable

    • Pre-bid Meeting: Details for a pre-bid meeting

    • Contact Person: The contact's name

    • Download Available: If there are downloadable documents for more information

    • Fee: If there is a fee for applying

    • Plan & Spec Available: If there are plans and specs available for the projects

    • Business Hours: Business hours of the contact posting the bid

    • Fax Number: If you have a fax number, you would like information about the bid

    • Plan Holders List: Details regarding whether a plan-holders list is used

    • Bid Posting Categories: The category or categories where you would like to add the bid

  5. Choose a saving option:Save or Save and Publish button on the create a bid page.

    • Save: Will save the work as an unpublished draft

    • Save and Publish: Will save the work and publish it for viewing

  6. If you choose Save and Publish, a dialog window will appear and give you the option to send a notification to subscribers: Form for sending a bid notification.

    • Subject: Will autofill with the relevant subject line

    • Comments: Attach a brief description of the bid

    • Mobile Text/Push Message: Attach a message to the SMS notification

    • Include link to item: Checking this box provides a link to the item within the SMS message for a user to select while using their mobile device

    • Send: Two options will be visible (On Start Date and Immediately), and one will be automatically selected based on your entered Start Date:

      • If the Start Date is today, the Immediately option will be selected

      • If the Start Date is a future date, the On Start Date option will be selected

    • Send, Don’t Send, or Cancel:

      • Send: Will send the notification accordingly to those who have signed up in Notify Me for the selected Bids category and complete the publishing process

      • Don't Send: Will complete the publishing process without sending notifications

      • Cancel: Will close the Bids dialog box and return you to the Bid Details screen without publishing


Modify a Bid Posting

  1. Sign in to your website solution

  2. Navigate to Modules and on the Content tab, select Bid Postings:Modules navigation menu with Bid Postings selected on the Content tab.

  3. Next to the relevant category, select Choose an Action and then View List:View List option in the Actions drop-down next to a bid list.

  4. Select the bid you wish to modify:Select a bid category.

  5. Make modifications:Modify bid fields.

    • Bid Number: Number assigned to identify the bid

    • Bid Title: Title of the bid

    • Start Date/ Start Time: When you would like the bid to become published

    • Publication Info: Where the info will appear

    • End Date/ End Time: When you would like the bid to unpublish

      Note:

      A blank End Date will allow for the bid to stay open until contracted.

    • Submittal Info: How the bids can be submitted

    • Bid Opening Info: If there are any special details about the bid opening

    • Status: To change the status of the bid

    • Add Status Info: If there are any additional comments about the status

    • Bid Recipient: The contact to receive bids

    • Description: Description of the bid

    • Qualifications: If there are any special qualifications to submit a bid

    • Special Requirements: If there are any special requirements for the bid

    • Miscellaneous Info: If there is any additional information about the bid

    • Addendum Date: Date updated, if applicable

    • Pre-bid Meeting: Details for a pre-bid meeting

    • Contact Person: The contact name

    • Download Available: If there are downloadable documents containing more information

    • Fee: If there is a fee for applying

    • Plan & Spec Available: If there are plans and specs available for the projects

    • Business Hours: Business hours of the contact posting the bid

    • Fax Number: If you have a fax number, you would like information about the bid

    • Plan Holders List: Details regarding whether a plan-holders list is used

    • Bid Posting Categories: The category or categories where you would like to add the bid

  6. Select a save option:Save or Save and Send buttons on the modify a bid page.

    • Cancel: Will delete changes made

    • Save: Will save the changes without sending them for approval

    • Save and Send: Will save the changes and send them for approval

  7. If you choose Save and Send, a Bids window will appear to give you the option to send a notification to subscribers:Form for sending a bid notification.

    • Subject: Will auto-fill with the subject information

    • Comments: Attach a brief description of the bid

    • Mobile Text/Push Message: Attach a message to the SMS notification

    • Include link to item: Provides a link to the item within the SMS message, allowing users to select it through their mobile device.

    • Send

      • On Start Date: Sends the notification on the start date previously set

      • Immediately: Sends the notification immediately

    • Select Send, Don’t Send, or Cancel: The notification will then send accordingly to those who have signed up in Notify Me for the selected Bids category


Delete a Bid Posting

Who can use this feature?

System Administrator | Owner

  1. Sign in to your website solution

  2. Navigate to Modules and on the Content tab, select Bid Postings:Modules navigation menu with Bid Postings selected on the Content tab.

  3. Select the category that contains the bid you want to delete:Select a bid category.

  4. Select Choose an Action and then Unpublish for the bid you wish to delete:Unpublish option in the Actions drop-down next to a bid.

  5. Select Choose an Action and then Delete for the now unpublished bid:Delete option in the Actions menu next to a bid.

  6. Select OK from the pop-up asking, Are you sure you want to delete this bid?:Confirmation dialog asking if the user wants to delete a bid.
