Create an Email Approval Flow Template

Email Templates allow you to customize the body of your email for various stages of the approval process. This allows you to modify the default body, add your own custom email body, and add content from the form submission.

Once created, Approval Email Templates can be added to an Approval Flow on a form.

Instructions

  1. Sign in to your account

  2. Navigate to Advanced Tools and select Email Templates Email Templates selected under the Advanced Tools menu in the left navigation.

  3. Click Add Email Template in the bottom right-hand corner The green, circular Add button in the lower-right corner of the Email Templates page.

  4. Enter a Label for the email template The Label field at the top of the Create Email Template modal.

  5. Select an Approvals option from the Template Type drop-down Four Approvals options in the Template Type drop-down.

    • Approvals - New Pending Approval: Customize the email that is sent to a user notifying them a submission is pending approval

    • Approvals - Clarification Request: Customize the email that is sent to the submitter of the form when seeking clarification

    • Approvals - Approved: Customize the email notification letting a user know their submission has been approved

    • Approvals - Denied: Customize the email notification letting a user know their submission has been denied

  6. Select the Environment you wish to add the template to The Environment tab.

  7. Add content to the template using the Editor or HTML (HyperText Markup Language) options The content editor box and Editor and HTML buttons.

    • Use Default: You can also click Use Default to add the standard approvals email content to the template. The Use Defaut button which appears below the content editor box.

    • Parameters: You are able to include Parameters from the approval in the email body. These include items such as notes, the form name, and submission ID (identification). Custom Parameters example text.

    • Copy to Environment: You can click Copy to Environment to allow the template to be used on forms in other environments. You will need to check the checkboxes next to the desired environments and click Copy to apply your changes. This function is strongly recommended for users who wish to copy to additional environments while using custom parameters. The Copy to Environment button below the content editor box.

  8. Click Save The green, rectangular Save button in the lower-right corner of the Create Email Template modal.

  9. You can now Add an Approval Flow to a Form
