Create an Email Workflow Template

Email Templates allow you to customize the body for your Email and Email + PDF (Portable Document Format) submission events. You are able to modify the default body, add your own custom email body, and add content from the form submission.

Instructions

  1. Sign in to your account

  2. Navigate to Advanced Tools and select Email Templates Email Templates selected under the Advanced Tools menu in the left navigation.

  3. Click Add Email Template The green, circular Add button in the lower-right corner of the Email Templates page.

  4. Enter a Label for the email template The Label field at the top of the Create Email Template modal.

  5. Select PDF + Email Workflow Event or Email Workflow Event from the Template Type drop-down Two template options in the Template Type drop-down.

  6. Select the Environment you wish to add the template to The Environment tab.

  7. Add content to the template using the Editor or HTML options The content editor box and Editor and HTML buttons.

    Note: If you want to add a video to an email, we recommend you try adding it as an image or a GIF that when clicked redirects the user to the video content. Learn more about the limitations of HTML email.

    • Use Default: You can also click Use Default to add the standard email submission content to the template if the content editor box is blank. The Use Defaut button which appears below the content editor box.

    • Parameters: You can include parameters from the submission in the email body. These include items such as form name, submission ID, and submission date and time. To add a custom parameter, add a tag, such as {{custom:emailAddress}}. Change the emailAddress section of the tag to represent the content you want to add (such as firstName, phoneNumber). This will then appear in the workflow event as a property that can be mapped to a form element or you can enter free text. Custom Parameters example text.

    • Copy to Environment: You can click Copy to Environment to allow the template to be used on forms in other environments. You will need to check the checkboxes next to the desired environments and click Copy to apply your changes. This function is strongly recommended for users who wish to copy to additional environments while using custom parameters. The Copy to Environment button below the content editor box.

  8. Click Save The green, rectangular Save button in the lower-right corner of the Create Email Template modal.

  9. You can now add the template to an Email Submission Event A Submission Event example.

    • Event Type: Select either Email or Email + PDF

    • Use email template: Toggle on to select the email template from the drop-down menu The Use email template toggle.
