Rosters allow staff to view participant information, contact participants, and manage waitlists.

Important Note:

Participants who are in the Membership or League Activity Types cannot be transferred to other sessions or Users and will need to be refunded.

When to Use

Session Rosters possess versatile Capabilities for managing participants for a particular session, event, or league. Session Rosters can be used for:

  • Enrolling users from a waitlist

  • Transfer Participants to a different program

  • Bulk Enroll users in another session

  • Issue user credit refunds in bulk to participants if a session is canceled due to unforeseen circumstances or low participation rates

How to Apply

While learning how to use Session Rosters, you may experience areas where you have questions. If you have any questions or run into issues, please keep track of them so your CivicPlus representative may address them.

Please complete the following:

  • Perform a test transaction to sign up yourself or a test user to a session

  • Familiarize yourself with the functions of the Roster List

  • Practice signing up multiple test users to a session with a waitlist to get familiar with the waitlist

  • Practice enrolling a participant from the waitlist
