This article shows how to create a recurring facility reservation using the Relative Date option. This option repeats the reservation on the same weekday and week of the month as the original start date. It does not use a specific calendar date.
Example Reservations
Monthly Recurrence
In this example, the start date is August 20, 2021. That date is the third Friday of the month. If you choose a monthly recurrence and use the Relative Date option, the reservation will repeat on the third Friday of each month. It will continue until the end date you set.
Note:
If you don’t select Relative Date, the schedule will repeat on the 20th of each month. It will do this no matter what day of the week it falls on, instead of repeating on the third Friday.
Yearly Recurrence
In this example, the start date is September 6, 2021, which is the first Monday of the month. If you choose a Yearly repeat schedule and use a relative date, the reservation will repeat every year on the first Monday of September.
Note:
If you don’t select Relative Date, the schedule will repeat every year on September 6, no matter what day of the week it falls on. It won’t follow the rule of repeating on the first Monday of September each year.
Instructions
Navigate to Facilities > Calendar
Apply filters
Select Refresh
Click on a date for a new reservation
Fill in reservation details
Facility: Select which facilities are to be reserved and the corresponding Rate Type
Date & Times: Select the date and time the reservation(s) begin
Recurrence: Select the Monthly or Yearly recurrence option from the drop-down
Interval: Choose the desired interval for the reservation
Example: If you wish to have a reservation that occurs every 3 months, select 3 from the drop-down.
Until: Select the end period for the reservation
Relative Date: Check the Relative Date option to indicate that the session will be based on the weekday and week of the month, versus the day of the month
For Activity: Associate the reservation with an activity
Assigned User: Select and assign a user account for the reservation
Send Confirmation Email: Check if you wish to notify the user of the reservation
Notes: Add any additional comments
Default Color: Select a color to represent the reservation
Status: Select a Reservation Status Type
Note:
You can only add a Reservation Status Type in the Calendar view. This option is not available when creating a facility reservation from the Catalog view. You also can't set a Reservation Status Type to apply automatically or use it as a default for certain reservation types or public reservations.
Conflicting Reservations: Select an option for handling conflicting reservations on the calendar
Don't allow: Choose whether to allow or block reservations that conflict with existing ones
Skip conflicting reservations: Dates with conflicts will not be booked. Only the dates without conflicts will be reserved.
Override conflicting reservations: Select to reserve the dates even if there is a conflicting reservation
Select Save (No Checkout) to create an Admin block off
Add To Cart: Saves the reservation, then allows you to input other reservations
Add To Cart & Checkout: Adds the reservation to the cart, then takes you through the checkout process
