Facility Schedule Day View

Day View displays a summary of each facility’s availability using simple visual indicators. Instead of showing individual reservations, Day View provides a quick, at-a-glance status so you can easily determine where availability exists. This article will walk you through how to utilize Day View within the Facility Schedule.

Navigating to Day View

  1. Navigate to the Facilities tab

  2. Select Facility Schedule

  3. Use the time increment dropdown menu to select Day

From here you can see each day you selected in the date range for any locations you selected.

Day View Legend

The day view has a legend you can view by hovering over the question mark icon next to the Location header. Each day for each facility is labeled with a status indicator to help you quickly understand availability:

  • A: Available - No reservations exist for this facility

  • PR: Partially Reserved - Some reservations exist, but availability remains

  • NO RT: No rate type is configured for the facility

  • C: The facility is closed due to a configured Facility Closing

  • U: The facility is fully booked with no remaining availability

Note

Facilities without a rate type cannot accept reservations with transactions. However, administrative bookings can still be created.

When to Use Day View

Day View is best for:

  • Scanning high-level availability across multiple facilities over multiple days

  • Quickly identifying open or fully booked days

  • Spotting facilities that need configuration (such as missing rate types)

  • Navigating to more detailed views for editing

Tips for using Day View

  • Use Day View as your starting point for daily scheduling decisions

  • Look for PR (Partially Reserved) to find opportunities for additional bookings

  • Watch for No RT indicators to ensure facilities are properly configured

  • Click into any cell to quickly take action without switching views

Managing Reservations using Day View

Make an Internal Reservation using Day View

  1. Log in to Recreation Management

  2. Navigate to the Facilities tab, and then Facilities Schedule

  3. Use the Select a location(s) dropdown to display locations and facilities

  4. Set your desired date range using the From and To date filters.

  5. Use the Time Increment dropdown to select Day

  6. Click on the desired facility and date to open the Day side panel

  7. In the Day side panel, double-click the desired time slot

  8. Complete the Create New Reservation fields

    • Assigned User: This is who you are making the reservation for.

    • Send Confirmation Email: Select this if you want to send the assigned user a confirmation email of their reservation. This only applies to when selecting save (no checkout).

    • Facility: This auto populates based on the window you chose in the schedule, however you can manually change it here.

      • Add facility: Click Add facility to add additional facilities to this reservation.

    • Rate Type: There is no need for rate type on a Admin/internal reservation. Rate Types only apply to reservations with fees associated.

    • Date: This auto populates based on the window you chose in the schedule, however you can manually change it here.

      • Add date: Click Add date to add additional reservation dates to this reservation.

    • Start Time: This auto populates based on the window you chose in the schedule, however you can manually change it here.

    • End Time: This auto populates based on the window you chose in the schedule, however you can manually change it here.

    • Recurrence: Use this option to automatically create multiple reservations on a set schedule.

      • Recurrence Type: Choose how often the reservation should repeat. Options include None, Daily, Weekly, Monthly, or Yearly.

        • Example: An interval of 2 with a Weekly recurrence means the reservation will occur every other week.

      • Intervals: Determines how frequently the reservation repeats within the selected recurrence type.

      • Days of the Week (Weekly only): Select one or more days for the reservation to occur.

        • Example: Selecting Monday and Wednesday will create reservations on both days within the recurrence pattern.

      • Recurrence End Date: Set the date when the recurring reservations should stop. Reservations will be created up to and including this date.

        Example

        If you select Weekly, set the interval to 2, and choose Monday and Wednesday, the reservation will occur every other week on both Monday and Wednesday until the selected end date.

    • Notes: (optional) Include any relevant notes for your internal reservation.

    • Color: Green by default. Change reservation color here if desired.

    • Status: This field will only be visible if your organization utilizes Reservation Status Types. If applicable, choose the status type that applies to this reservation. To learn more review the Create Reservation Status Types article.

    • Conflicting Reservations: Select how you would like to manage conflicting reservations for this booking.

      • Don’t allow: If a conflict exists, the reservation will not be created.

      • Skip conflicting reservations: The system will skip any conflicting dates/times and create reservations only for those that do not have conflicts.

      • Override conflicting reservations: The system will create the reservation even if conflicts exist, resulting in double bookings.

  9. Select the Save (no checkout) button

  10. The Reservation will then populate on your schedule.

    Note

    If you have the Org options and the facility is configured to create permits then the permit will be created and populate in a new window upon saving.

Make a Customer Reservation using Day View

  1. Log in to Recreation Management

  2. Navigate to the Facilities tab, and then Facilities Schedule

  8. Complete the Create New Reservation fields

  9. Select the Add to Cart & Checkout button

  10. Click the Confirm button on the confirmation pop up

    Note

    If there are any scheduling issues with the reservation there will be an error here instead. For example: if you are attempting to book a reservation outside of the configured rate type settings you will have to adjust the reservation or the rate type.

  11. From here you will be taken directly to the cart

  12. Complete Checkout as usual

Adjusting an Internal Reservation from Day View

here are two ways to adjust a reservation on the Facility Schedule.

Option 1 - Adjust by Double Clicking the Reservation

  1. Locate and double click the Reservation you want to edit or adjust on the Facility Schedule

  2. Update the Edit Reservation Fields

    Note

    If you are editing a reservation that is apart of a recurrence it will be removed from the recurrence. The rest of the recurrence will remain unchanged.

  3. Click the Update Reservation button

Option 2 - Adjust by Dragging and Dropping

           

  1. Hover over the reservation on the Facility Schedule.

  2. Drag either edge to adjust the time, or drag the entire reservation to a new time or facility.

  3. Review the updated details in the pop-up window.

  4. Click the Update Reservation button

Adjust Customer Reservation Day View

Option 1 - Double Click the Reservation

  1. Click the reservation you want to adjust.

  2. In the reservation details window, select Adjust Reservation.

  3. Update the reservation details in the pop-up window:

    • Facility: Changes your facility

      Note:

      Fees may change based on the facility's configuration. If you see Invalid on this screen, it indicates there is an issue with your selections. This could be caused by booking outside of the rate type’s configuration or a reservation conflict.

    • Rate Type: Select the appropriate rate type for this reservation

    • Adjustment Notes: Enter any notes related to changes and adjustments

    • New Date: Change the rental date

      Note:

      Check the facility and rate type to make sure they match.

    • New Times: Adjust rental time and change rate type, if needed

    • Fee Override: Enter in additional fees that would override the standard fee amount

    • Add-Ons: Select additional add-ons

      Note:

      Be sure that if you are changing facilities, the correct rate type is selected as well.

    • Discount: Select a discount, if applicable

  4. Click Perform Rental Adjustment button

  5. The time block on the Facility Schedule will adjust accordingly

Option 2 - Drag and Drop

           

  1. Hover over the reservation on the Facility Schedule.

  2. Drag either edge to adjust the time, or drag the entire reservation to a new time or facility.

  3. Review the Adjustment Changes window.

  4. Select Apply to Form.

  5. Make any additional adjustments if needed.

  6. Select Perform Rental Adjustment.

  7. Any fee changes will apply after performing the rental adjustment.
