Skip and Complete Fillable Forms After Checkout

This article explains how to make a Fillable Form required or optional during checkout, as well as how to complete a Fillable Form if it was skipped.

Required at Checkout Setting

When linking a form to an session or facility, you can choose whether the form is Required at Checkout. To learn how to link a form, see the Linking Your Fillable Forms to Recreation Management article.

Skip a Fillable Form during Checkout

If Required at Checkout is not selected, users will see a Skip form and continue option during checkout. This allows them to complete checkout quickly and fill out the form at a later time.

Note

Staff will always be able to skip forms at checkout.

Complete or Email Skipped Forms after Checkout

If Staff skip Fillable Form(s) during the checkout process, they will be presented with a few options post-checkout to manage the incomplete Form(s).

Complete a Skipped Form as a Staff User from the Receipt Page

On the Receipt page at the end of the transaction, Staff can click the Checkmark Icon button to complete the Fillable Form on behalf of the public user.

  1. Click the Checkmark Icon button to complete the Fillable Form. Staff will be redirected to the Fillable Form for that specific user’s registration or reservation

  1. Complete and submit the Fillable Form on behalf of the public user. Once submitted, staff will be presented with a success message

Email a Skipped Form as a Staff User from the Receipt Page

Staff can also click the Email Icon button to email the Fillable Form to a specific user for completion.

  1. Click the Email Icon button

  2. Fill out the email where you want to resend the form

    Note

    Anyone can complete and submit Fillable Forms as long as they have a Recreation Management Account. For example, if one parent completed the registration, but a different parent wants to fill out the Form(s), the email can be sent to the second parent as long as they have an account.

  3. Click the Send Email Icon button

  4. The user will receive an email from the Recreation Management System with details and a link to complete the Fillable Form

Email Skipped Forms in Bulk as a Staff User from the Receipt Page

If your checkout includes multiple sessions and/or facilities, there may be multiple Forms to complete. Staff can email each form individually as mentioned above, or staff can send all forms at once to the same email using the Email all form links field.

  1. Enter the email address and then click the send icon button.

  2. The user will receive an email from the Recreation Management System with details and a link to complete the Fillable Forms

Complete or Email Skipped Forms from the Activity List Session Roster

  1. Log in to Recreation Management

  2. Navigate to the Activities tab and then select Activity List

  3. Locate your Session and click on the Roster

  4. If the Form Status says Missing, this indicates the participant has not yet submitted their Fillable Form. Click Missing to email the Fillable Form to the registrant or complete the form on their behalf

    Note

    The email will be sent to the person who registered the participant. Public users can also complete these Fillable Forms from their Account Dashboard

  5. The Fillable Form Status pop up with give you the options to email form or complete form.

Complete a Skipped Form as a Public User from the Receipt Page

On the Receipt page at the end of the transaction, public users can click the Checkmark Icon button to complete the Fillable Form in that moment.

  1. Click the Checkmark Icon button to complete the Fillable Form. Staff will be redirected to the Fillable Form for that specific user’s registration or reservation

  1. Complete and submit the Fillable Form on behalf of the public user. Once submitted, staff will be presented with a success message

Email a Skipped Form as a Public User from the Receipt Page

Public Users will automatically receive an email with incomplete Forms after completing their transaction. Public Users can also click the Email Icon button to email the Fillable Form to a different system user for completion.

  1. Click the Email Icon button

    Note

If the Public User’s checkout includes multiple sessions and/or facilities, there may be multiple Forms to complete. Public Users can email each form individually as mentioned above, or they can send all forms at once to the same email using the Email all form links field.

  1. Enter the email address and then click the send icon button.

Complete Skipped Forms in the Form and Document Center as a Public User

  1. Log in to Recreation Management

  2. Click the Account button

  3. Navigate to the Form and Document Center tab

  4. Under the Forms section, click the Complete form button on any form you wish to complete

  5. Fill out the form fields - they will vary based on the form.

  6. Click the Submit button at the bottom of the form
