Staff Override Code for Passwords

Override Codes can be used when a frontline staff member (or any internal staff user who lacks a permission level) encounters an error message on the catalog saying the action can't be performed. A staff member with permission to perform that action can enter their email and their Override Code which allows the frontline staff member to proceed with the task.

Important Notes:

  • Override Codes can only be used to override actions on the Catalog when making a transaction. Actions that can be overridden include but are not limited to eligibility, (for example age and gender), enrollment (for example registration dates and maximum participants), and pricing.

  • Override Codes cannot be used to , , delete, transfer, or adjust existing registrations/rentals.

  • Override Codes are set on an individual staff user basis and can be added to any staff member, Override Codes are not limited to Administrators.

  • The override code is available to all Recreation Management staff users, including those with a Custom IdP.

Turn on Edit Override Code Permission

The Edit Override Code permission will give staff the ability to edit override codes for any staff member including themselves. Turn this setting on for any User Groups who should be allowed to set or change override codes.

  1. Navigate to Security > Permissions navigate to security

  2. On the Account Management Tab, in the User Actions section, turn on the Edit override code settings for the applicable staff User Groups  Turn

  3. Select Save Permissions save permissions

Create Override Codes

  1. Search for and select a user you would like to add an override code for. search and select account

    Note: The user must be classified as an Internal User/Staff Member in order to have an override code.

  2. Select Edit User pencil icon  select edit user

  3. Add an Override Code in the Account Settings section add override code

    Note: Override Codes do not have a minimum character requirement and do not require any specific characters.

  4. Select the Save User button  select save user

Using An Override Code

If a staff member is unable to perform an action on the catalog, an error message will populate. Any Staff member who has the ability to perform the action and has an override code added will be able to override the error. The overriding employee does not need to be an administrator.

  1. When the Permission Override error populates, enter the email and the unique override code of the employee performing the override.  Enter override code and email

  2. Click the Submit button  click submit

  3. The error will be overridden, allowing the frontline staff member to proceed with the transaction.
