Using Mobile Apps to Manage Requests in the Field

There are two ways to manage requests in the field. You can access requests through the SeeClickFix 311 CRM mobile app, or you can access requests through the browser on your phone. We recommend using the native app for managing requests. If you are managing work orders, a mobile CRM system is required.

The native mobile app for iOS and Android has the following functions:

  • Status updates

  • External comments

  • Internal comments

  • Adding photos

  • Request assignment and reassignment

  • Change due dates

  • Updated and new filtering and sorting

To access the settings on the mobile app, you must be logged in as an organizational member and make sure you have installed the latest version of the app.


Logging In

To log in as a government user, click Sign In and enter your organization's email address and password.

Note:

If you are a member of more than one organization, you can choose which organization you're working in from a list of organizations you're a member of.


Filtering Requests

The Mobile App also includes the same organizational filters as the browser.

  1. Select the Requests tab from the footer menu

  2. From the Requests tab, Filters are located in the upper right-hand corner

  3. Use the My Assignments button to find all requests assigned to you The Filters screen of the mobile app with the My Assignments button highlighted.

  4. Or create and save custom filters by status, assignee, category, and more. Set up custom filters with the categories you prefer and then click Filter.

    • Status: The current status of the request

    • Assignee: The person assigned the request

    • Category: Requests within a specific category

    • Due Date: Requests assigned a specific due date

    • Created Date: Requests submitted on a specific date

    • Closed Date: Requests closed on a specific date

    • Geographies: Requests submitted within specific geographies/areas

    • Sort: Group requests together, such as:

      • Newest to Oldest

      • Oldest to Newest

      • Nearest

      • Votes

      • Recently Updated


Updating Due Dates

You can use the app to update due dates on requests.

  1. Select the Requests tab

  2. From the Requests tab, Filters are located in the upper right-hand corner

  3. Use the My Assignments button to find all requests assigned to you

  4. Select the request and go to the Request Detail; tap the arrow in the section titled Due Date:The Request Detail screen with the Due Date field highlighted.

Leaving Internal or Public Comments

If you're in the field and you discover new information about a request that needs updating internally or publicly, you can easily do so with an internal or public comment.

Comments on iOS

To leave a comment on a request:

  1. Select the Requests tab

  2. From the Requests tab, Filters are located in the upper right-hand corner

  3. Use the My Assignments button to find all requests assigned to you

  4. Select the request

  5. Scroll down to the comments section and click Add a comment:The iOS application with the Add a Comment field highlighted.

  7. Choose to leave a Public Comment or an Internal Comment:The expanded Comment Type field showing options for Public Comment or Internal Comment as well as a Cancel button.

  8. Internal Comments will have a yellow tint to the comment box:A comment set to Internal Comment has the field tinted a very light yellow.

Comments on Android

To leave a comment on a request in Android:

  1. Select the Requests tab

  2. From the Requests tab, Filters are located in the upper right-hand corner

  3. Use the My Assignments button to find all requests assigned to you

  4. Select the request

  5. Scroll down to the comments section and select Add a Comment

  6. Above the comment box, you will see both Public Comment and Internal Comment tabsThe Comments screen with the Public Comment and Internal Comment tabs highlighted.

  7. You can toggle between these options as needed.

Change Request Status

Change Status on iOS

To change the status of a request in iOS:

  1. Select the Requests tab

  2. From the Requests tab, Filters are located in the upper right-hand corner

  3. Use the My Assignments button to find all requests assigned to you

  4. Select the request

  5. Scroll down to the comments section and select the Hamburger icon:The Change Status hamburger icon is highlighted on a Request page.

  6. Select the desired status:-The iOS Change Status options expanded revealing Acknowledge, Close, or Cancel as options.

Change Status on Android

To change the status of a request in Android:

  1. Select the Requests tab

  2. From the Requests tab, Filters are located in the upper right-hand corner

  3. Use the My Assignments button to find all requests assigned to you

  4. Select the request

  5. Scroll down to the comments section and select Change Status:A Request Detail screen with the Change Status (hamburger icon) button selected.

    • Acknowledged

    • Closed


Assigning and Reassigning Request

You can also use the mobile app in the field to assign and reassign requests as needed. To do so:

  1. Select the Requests tab

  2. From the Requests tab, Filters are located in the upper right-hand corner

  3. Use the My Assignments button to find all requests assigned to you

  4. Select the request:The Request Detail screen for a drainage request.

  5. Scroll until you see the current assignee information, then tap the arrow next to this information to assign and/or reassign the request:The Mobile App screen with the Assignee field highlighted showing the current assignee.

  6. You can scroll through or search organizational members to find the correct person:The Search Assignees field is highlighted on a Request Detail screen.

Access the Mobile Web View

If you are signed into the app with your organizational email, you'll see a wrench icon in the top toolbar as part of your menu options on a request. By tapping this, you'll be able to access the SeeClickFix 311 CRM internal system in your default browser.

The internal system is also always accessible from your mobile web browser at crm.seeclickfix.com. The web-based version is fully mobile responsive, so you can manage requests in the field just as you would from your office.

There are key management tasks that you can easily complete without ever leaving the SeeClickFix 311 CRM app or your organization's marketplace app.

Note:

To access these items in the app, you will need to have the most recent app version and be logged in as an organizational member.
