Property Information for Permit / Project Records

The Property tab shows detailed information about the property linked to the current Project or Permit record. Some fields in this tab affect data in other parts of the system. It also includes details about the structure related to the record. If data already exists for the parcel, a link will appear. Clicking the link fills in all fields under this tab using the parcel-level data. This saves the user from entering the information manually.

Property tab.

  • Type/Improvement: This field shows a drop-down list. The list can be customized for each location. It works with the project type and use fields found under the Applicant tab. It helps identify the specific actions for the project or permit. Examples include addition, alteration, remodel, repair, or replace.

  • Accessory/Structure: This field is used to list any accessory structures linked to the main project or permit. The structure types follow national standards. However, they can be changed to fit local needs.

  • Occupancy Classification: This field shows the type of occupancy for the project or permit. It uses national classification terms like assembly, residential, or industrial. The field also helps create year-end reports. These reports are required by many states.

  • Property Type Code: This field shows a drop-down list of property type codes. These codes come from the parcel system and are usually provided by the assessor or GIS data. The list can include types like commercial, residential, or special-use properties. It helps track properties that need regular permits or inspections. The list only appears if the codes are available.

  • Current Zoning: This field shows the current zoning for the property. The zoning is set by the municipality. It can be filled in using tax parcel data from the assessor or mapping data from GIS. If the municipality does not provide this data, the user must enter it manually. Once entered, the zoning is saved in both the record and at the parcel, property, or asset level.

  • Proposed Zoning: This field is used during zoning processing. It is also used in the planning and zoning system when a zoning or change of use application is submitted.

  • Project Cost: This is a critical field as it is used to calculate any fees associated with project costs.

  • Project Value: This field is critical to fee calculations associated with the project. The value is what is determined by the staff using various value calculation methods.

  • Property Type Description: This field should be used to describe the property type.

  • Description of Work/Current Use and Proposed Changes: This field is critical for those who require a specific description of the project/permit to appear on the placard. It provides the details of what the record is for.

Lot Information

The fields in this part of the Property tab are connected, but users can still enter them manually. Lot dimensions and lot area can fill in automatically if assessor or GIS data is available. This data is imported and updated regularly when those systems are connected. If not, the information must be entered manually and saved at the parcel level for future use.

Lot information.

  • Lot Width/Depth: This data can be calculated using the "click here" feature. This will calculate the Lot Area and the AC (acres) fields.

  • Total area of building and accessory structures: This field should include the Usable area from the Structure tab and any accessory structures. It shows the total area of improvements on the property. This total is used to calculate lot coverage. The lot coverage field will show the combined area of all buildings and accessory structures.

  • Total area of all man-made improvements: When this field is filled in, it will automatically update the Improved Coverage field.

  • Lot/Improved Coverage: These fields will be added to the parcel data in a future upgrade. They will help calculate the total lot coverage and improvement percentage. The totals will be based on permit and project activity linked to the parcel.

  • General Notes: Add any general notes for the record.

  • Restrictions/Variances: This field can be filled in by the user, but it will also update automatically based on any zoning board activity or variance issued for related projects.
