This article will show you how to manually send subscription list email notifications.

Manually Send an Email Notification for a Meeting Outside of Weekly Emails

  1. Log in to your municipality's Publishing Website or Portal if you have not already

  2. Click the Meetings link in the top-right corner of the page, below the City Website link, to navigate to your Meetings page The Meetings link.

  3. Click the View Details link to the right of the desired meeting An example View Details link.

  4. Scroll down and click the Email this page to a List of Subscribers button (newspaper icon) next to the printer icon An Email this page to a List of Subscribers button.

  5. Under Newsletter category, click the radio button next to the name of the desired subscription list Newsletter category radio buttons.

  6. Add text to the body of your email in the Introduction field, if desired The Introduction field.

  7. Scroll down and click the Save button A gray, rectangular Save button below the left-hand navigation menu.

    Note: The Save feature does not send the email.

  8. Ensure that the Send Test Email to the email address listed below radio button is selected The Send Test Email radio button.

  9. Enter one or more email addresses that you would like to receive a test copy of your email into the Test email addresses field The Test email addresses field.

    Note: Separate multiple email addresses with commas.

  10. Click the Submit button A gray, rectangular Submit button below the Test email addresses field.

  11. Once you have previewed the Test Email, click the Send email immediately radio button to send your email right away The Send email immediately radio button.

    Note: Emails are sent in batches of 100 every 15 minutes.

  12. Or click the Send email at a specific date and time radio button and enter the date and time you wish to send the email into the Date and Time fields The Send email at a specific date time radio button and the Date and Time fields.

  13. Click the Submit button A gray, rectangular Submit button.

  14. Your email will appear as pending and will be sent immediately or at a later date and time, depending on your selections A green, rectangular pop-up message which explains that the newsletter is pending.


Manually Send an Email Without Meeting Materials Hyperlinked (Meeting Canceled or Moved)

  1. Log in to your municipality's Publishing Website or Portal if you have not already

  2. Click the Dashboard link in the top-right corner of the page to the left of the Search Meeting Files box to navigate to your Dashboard if you are not there already A Dashboard link in the top-right corner of the page to the left of the Search Meeting Files box.

  3. Click the Administration button A gray, rectangular Administration button.

  4. Within the Send Email section, click the Send an Email to a list of subscribers link The Send an Email to a list of subscribers link.

  5. Enter the subject of your email in the Title field The Title field.

  6. Under Newsletter category, click the radio button next to the name of the desired subscription list Newsletter category radio buttons.

  7. Enter the content of the email into the Body field The Body field.

    Note: You can use the text and paragraph formatting tools to edit the display of your message.

  8. Scroll down and click the Save button A gray, rectangular Save button below the left-hand navigation menu.

    Note: The Save feature does not send the email.

  9. Ensure that the Send Test Email to the email address listed below radio button is selected The Send Test Email radio button.

  10. Enter one or more email addresses that you would like to receive a test copy of your email into the Test email addresses field The Test email addresses field.
