Manage Item Field Designs

Item field designs can be used to automatically populate item fields with pre-determined content, such as default text and recommended actions. Field designs affect all items for the selected meeting type.

The management of agenda default text is performed in a separate location from item field designs. For instructions on how to edit agenda default text, see our Manage Default Text article.

Important Notes

  • To manage item field designs, users must have the “Has Access to Meetings Site Settings” permission in their User Profile.

  • Changes to item field designs apply the next time an item is created.

  • Even though the Fiscal Impact Summary field is an item field, its default text is managed in the same location as agenda default text.

Instructions

  1. Sign in to the system if you have not already

  2. Navigate to the User Menu, then select the Settings optionThe User Menu with the Settings option highlighted.

  3. Click the Meetings tileThe Meetings tile with a briefcase icon on the Site Settings page.

  4. Click the Field Design tileThe Field Design tile on the Meetings page.

  5. Click the Edit tool (purple pencil icon) for the desired field designThe Edit tool button.

  6. Click the Edit button next to the desired fieldA white, rectangular Edit button with a purple pencil icon.

  7. Edit the component fields as desiredThe Edit Component modal.

    Note:

    The fields that appear will differ depending on the component you have selected.

    • For dropdown fields, you are unable to set a default selection.An example dropdown field.

    • For text fields, enter the default text into the unnamed field.An example text field.

    • For date fields, use the calendar icon on the text field to set a default date.An example date field.

    • For checkbox fields, use the toggle under the Default Checkbox State section to set the default state.An example Default Checkbox State section.

  8. Click the Save Changes button
    The green Save Changes button next to the Cancel button.

    Note:

    Changes to an item field design are applicable the next time you create an item.
