View Public Portal Meeting Files with DocAccess Viewer

Agenda and Meeting Management Select Public Portals with Agenda Accessibility and Translation powered by DocAccess enabled have the DocAccess Viewer available. Within the DocAccess Viewer, Public Portal visitors can quickly toggle between the Print-Friendly PDF View that users expect and an Accessible Transcript View. Users can also utilize the Viewer’s built-in Ask a Question, Document Outline, Translate, Disability Assistance, and Print and Download functions to further engage with meeting files. This article will show you how to use the DocAccess Viwer within Agenda and Meeting Management Select Public Portals.

Important Note

Your municipality or organization must have Agenda Accessibility and Translation powered by DocAccess enabled for the DocAccess Viewer to be available.

Instructions

  1. Navigate to your municipality or organization’s Public Portal:

  2. Navigate to the desired event:

    An event selected in the Events List.

  3. Click the Meeting Files tab:

    Note:

    You can also access accessible versions of your PDF files directly on the Public Portal home page. If you click the Download Files from this Event function on an event, Accessible PDF versions will appear in the file menu.

  4. Click the name of a meeting file or an item attachment to view the file in the DocAccess Viewer:

  5. Click the View toggle to switch between Print View and the Accessible View as desired:

  6. In the panel on the right side of the Viewer, select an option to use a special feature:

    1. Click Ask a Question to ask questions about the document:

      1. Enter your question into the text box:

      2. Click the Ask Question button:

      3. An answer will appear below the Ask Question button:

        Note:

        “Ask a Question” answers are generated by an AI model. Please verify the accuracy of an answer before relying on it.

    2. Click Document Outline to navigate sections of the document, if desired:

      1. Click the desired heading to jump to that section of the document:

      2. The section will be highlighted and scroll into focus:

    3. Click Translate to translate meeting documents and DocAccess tools into more than 250 languages, if desired:

      1. Click the Select Language dropdown and choose a language:

      2. The Viewer interface and document text will be translated into the selected language:

    4. Click Disability Assistance to connect to a live visual interpreter from the DocAccess Viewer interface, if desired:

      1. Follow the Connect via Phone or Aira App instructions to get Aira assistance on a phone or mobile device:

      2. Or click Open Aira Explorer to connect using your device’s web browser:

    5. Click one of the Download or Print Options to create or save a local copy of the document:

      • Download Transcript: Enter your email address to receive a downloadable copy of the file transcript (available in both Print-Friendly View and Accessible Transcript View)

      • Print Transcript: Print the Accessible Transcript version of the file (only available in Accessible Transcript View)

      • Download Original PDF (not depicted): Download a copy of the original PDF in its original language and formatting (only available in Print-Friendly View)

      • Print PDF (not depicted): Print the original PDF of the file (only available in Print-Friendly View)

      Note:

      The transcript download will not include your completed form field entries. Use the "Print Transcript" option to retain your filled-out values.
