The AI Editing Assistant feature embeds generative AI directly into various instances of the Editor Widget within Municipal Websites Central. With the AI Assisted Editing function enabled, you can now access real-time AI writing assistance while you're drafting website content. AI-Assisted Editing Functionality

The AI assistant can:

  • Improve the grammar, clarity, and tone of your draft text

  • Help standardize public comment summaries and motion language

  • Rewrite rushed or unpolished notes into polished website content

  • Assist in rewording complex content for plain language compliance

  • Summarize lengthy sections of discussion into concise meeting records

You’ll see the AI Editing Assistant button in typical Editor locations within Web Central, such as:

  • Pages

  • News Flash

  • NotifyMe

  • FAQ’s

Hot Buttons

Within the AI Editing Assistant pop-up, you’ll find Hot Buttons. These are predefined prompts that allow you to quickly apply common improvements to your text with a single click. These buttons are designed around municipal workflows and include actions like “Improve my Writing” and “Simplify Text”. They’re especially useful when you’re working quickly and don’t want to type a custom instruction. Clicking on one of these buttons will cause the AI Editing Assistant to automatically interact with the text you have in the Froala Editor. AI Editing Assistant hot buttons highlighted


Powered By Prompts

The prompts behind the  Editing Assistant and its Hot Buttons are hard-coded into Web Central and cannot be edited.  These are the prompts:

  • Base Prompt: You are a highly experienced municipal website content manager with deep knowledge of local government processes and documentation standards.

    • Style and Output Rules:

      • Respond in the user's language.

      • Output only what is asked. No greetings, no introductions, no explanations, no closing lines.

      • If a list is requested, return only the list (one item per line unless a format is specified). No headings or prefaces.

      • Ask one short clarifying question only if the request is ambiguous; otherwise, answer directly.

      • Keep a professional, neutral tone suitable for public records. Avoid speculative or legally sensitive phrasing.

  • Improve Writing Hot Button Base Prompt: Refine this content to align with professional Website-level writing standards, improving structure, clarity, and tone for municipal documentation: {Editor Content}

  • Simplify Text Hot Button Base Prompt: Rewrite this content using plain, accessible language so it can be easily understood by members of the public without changing its meaning: {Editor Content}


Use Cases

Here is a list of possible ways users might use the AI Editing Assistant in each of the supported Editor areas, based on workflows and common documentation needs:

FAQ Content

  • Turn long, rambling question text into a clear, direct FAQ question

  • Convert internal policy shorthand into a plain-language question

  • Combine multiple similar questions into a single, easy-to-scan FAQ entry

  • Adjust tone from technical or legal-sounding to friendly and approachable

News and Website Announcements

  • Turn internal notes or staff explanations into public-facing text

  • Rewrite dense policy language into plain language at a lower reading level

  • Add structure like headings, bullets, and “Key Points” to long answers for easier scanning

  • Shorten overly long answers into a 2 or 3 sentence summary without losing key details

Alerts and Notifications

  • Convert a long internal update into a resident-ready email with a subject line, intro, bullets, and a call-to-action

  • Shorten and reformat content to follow a standard email template used by the organization

  • Rewrite an urgent notice, such as a closure, outage, or service delay, into a clear, calm message

  • Create alternative versions for “before,” “during,” and “after” a planned disruption, such as roadwork or system downtime

FAQ Example

Imagine you’ve received internal notes about a new curbside recycling program that look like this: “New curbside recycling starting May 15. Single-family homes only in Phase 1. Blue carts delivered week before. No extra fee this year, funded by solid waste grant. Residents can recycle paper, cardboard, metal cans, #1 and #2 plastics. No glass yet. Missed pickups go through normal service request form.”

Simply paste or type your rough notes into the Editor, highlight the text, click the AI Editing Assistant icon, and ask the assistant to: “Turn this into a resident-friendly FAQ question and answer.”

Result:

Question: When does the new curbside recycling program start, and who can participate?

Answer: The new curbside recycling program will start on May 15 and is available for single-family homes in Phase 1. Blue carts will be delivered the week before. There is no extra fee this year, as it is funded by a solid waste grant. Residents can recycle paper, cardboard, metal cans, and #1 and #2 plastics, but glass is not accepted yet. If you miss a pickup, please use the normal service request form.


Data Security and Transparency

  • AI assistance is optional and user-controlled

  • Text is only processed after user submission

  • Content is not used to train the public or any other generative AI model

  • Each interaction with the AI Editing Assistant is limited to that specific instance of an Editor Widget; once the text is deleted, it is gone forever


Enable the AI Editing Assistant

The AI Editing Assistant can be added to Web Central customer sites at no additional cost. For more information or to get access, please contact your Account Manager.


Disable the AI Editing Assistant

Once enabled, the AI Editing Assistant can be turned off at any time by revoking your acknowledgment of the AI Policy. The policy is presented in a window within the product the first time you use an AI feature, and it can later be viewed and managed in the CivicPlus Account Service.
