This article will show you how to copy Subscriber Lists to other modules.

Important Note:

The Notify Me and Alert Center modules have been used for this walkthrough.

Instructions

  1. Sign in to your site

  2. Open the module where you want to pull your existing subscribers from

  3. Open the subscriber list for your category:

    • For modules like Bid Postings, Blog, Notify Me, and News Flash, you will select Choose an Action and then Subscribers The back-end of the Notify Me module with the Choose an Action menu expanded and the Subscribers option highlighted.

    • For modules like Agenda Center, Alert Center, Calendar, and Jobs, you will open your category and click the Go to Subscribers button on the right side of the page The back-end of the Alert Center module with the Go to Subscribers button highlighted.

  4. Click Export Subscriptions (same in any module) The back-end of the Alert Center module with the Export Subscriptions button highlighted.

  5. Choose whether you want only Active Subscribers, Inactive Subscribers Due to Excessive Bounces, or Both The Export Subscribers pop-up box with options for Active, Inactive due to excessive bounces, and both options highlighted.

  6. Click Export The Export Subscribers dialog box with the Export button highlighted.

  7. Open the downloaded .TXT file in Excel A highlighted downloaded file titled Subscribers.txt.

  8. Modify the .TXT file:

    1. Delete Column D (OK Column) A .txt file open in Microsoft Excel with Column D highlighted and ready for deletion.

    2. Review formatting

    3. Navigate to File A workbook open in Microsoft Excel with the File menu highlighted.

    4. Select Save As Microsoft Excel on the File screen with the Save As option highlighted.

  9. Before you import this list into another category, you must change the formatting slightly:

    Note: New subscribers will receive HTML emails. Existing subscribers will keep their format preferences. Existing subscriptions will not be removed.

    • The file must be a text file with a file name extension ".TXT" or ".CSV"

    • Format Rules:

      • Fields must be tab or comma-delimited

      • Each record should be placed on a separate line

      • All fields must be present, even if empty

      • Only the SMS Number may be empty

      • Blank lines are allowed/ignored

      • Duplicate entries will be ignored

      • Fields (In Order):

        • Email Address - Limited to 255 characters

        • SMS Number - Should be empty, or in formats ########## or ###-###-####

        • Subscription Type - Limited to values "email", "sms", "both" (without quotes)

  10. Your file should now be ready to import into another category on your site.

  11. Open the subscriber list for your category:

    • For modules like Bids, Blog, Notify Me, and News Flash, you will select Choose an Action and then Subscribers The back-end of the Notify Me module with the Choose an Action menu expanded and the Subscribers option highlighted.

    • For modules like Agenda Center, Alert Center, Calendar, and Jobs, you will open your category and click the Go to Subscribers button on the right side of the page The back-end of the Alert Center module with the Go to Subscribers button highlighted.

  12. Click Import Subscriptions (same in all modules)The back-end of the Notify Me module with the Import Subscriptions button highlighted.

  13. Click Choose File The Notify Me module back-end on the Import Subscribers pop-up window, with the Choose File button highlighted.

  14. Open your Subscribers. CSV file The Windows Open File dialog box with a Subscribers CSV format file and the Open button highlighted.

  15. Click Import File The Import Subscribers dialog box of the Notify Me module with the Import File button highlighted.

    Note: Upon successful import, every user will receive a notification to confirm the subscription. If you would like to be able to bypass this, please contact Support to ensure the prompt is turned on before import. Check the Skip Confirmation Process to certify that these users have already manually confirmed to receive communication for this list.

  16. You will receive a summary of the number of subscribers added for email and SMS as well as any that were ignored as duplicates. If there are any problems, double-check the formatting of your file and make sure all of your columns are correct.
