Remove a Previous Agenda Version

This article will show you how to remove a previous version of an Agenda.

Important Note:

  • Agenda Center is the only module for which you must be an Owner to Publish.

  • Attaching Minutes counts as a modification.

  • There will be a new URL, so the link sent out with a notification will no longer work.

Instructions

  1. Sign in to your site.

  2. Navigate to Modules and on the Content tab, select Agenda Center:

  3. Select the category that you want to modify:

  4. Click on the Agendas tab:

    Note:

    Ensure that your agenda is complete.

  5. Find the Agenda you want to modify and click the Actions button:

  6. Select Unpublish:

    Note:

    The unpublished Agenda will now go into Draft status:

  7. On the same Agenda, click Actions, and then select Copy:

  8. Review the copied fields and edit as needed:

    • Meeting Date: Enter the date of the meeting

    • Upload an Agenda: Select to upload an agenda document for the meeting

    • Description: Enter agenda or meeting description

    • Link to Media: Enter a URL for an online video or audio recording associated with the meeting

      • Open in New Window: Select to open the media link in a new browser window or tab

    • Video: Select if the media link is a video

    • Audio: Select if the media link is an audio recording

    • File For Agenda: Displays an uploaded agenda file. Select the X to remove the file, if needed

    • Upload File For Minutes: Select Choose File to upload files directly from your computer

      Note:

      Check the Convert to PDF checkbox if you want to convert the uploaded minutes document to PDF.

  9. Click the Save and Publish button:

  10. A notification window opens with options for when to send the notification:

    The City Council agenda publishing options include subject, comments, and notification settings.

    • Subject: Add subject heading

    • Comments: Enter a brief description of the new agenda

    • Mobile Text or Push Message: Enter the message sent to mobile subscribers

    • Include Link to Item: Select to include a link to the published agenda in the notification

    • Send: Select when to send the notification

      • On Meeting Date: Send the agenda on the meeting date previously set

      • Immediately: Sends the agenda immediately

      • X Number of Days in Advance: Enter the number of days before the meeting date to send the agenda

    • Send: Send the notification to subscribers

    • Don't Send: Publish the agenda without sending a notification

    • Cancel: Close the window without publishing the notification

      Note:

      The notification will be sent to those who have signed up for Notify Me® for the selected Agenda category

  11. The new copy appears on the Agendas tab:

  12. Delete the original copy, which has a Draft status. Click Actions, then select Delete:
