Compressed File Extraction

NextRequest customers can upload compressed files containing multiple files smaller than their original size. You can use RapidReview to extract files and view and redact the original components.


MSG and EML Files

Extracted files are placed in a folder titled "[ORIGINAL_FILE_NAME]-extracted." After extraction, the original MSG or EML file then automatically moves to the Originals stage of RapidReview.


ZIP Files

Extracted files are not placed in any folder. After extraction, the original ZIP file automatically moves to the Originals stage of RapidReview.

Note:

It is recommended that one ZIP file be extracted at a time. Once a ZIP file is extracted, select all of the extracted component files and move them into a single folder before extracting the next ZIP file for better organization.


PST Files

The tool creates subfolders for each email file that exists within the main PST folder that is created. The names of those subfolders are the names of the subject lines of each email. Any attachments on the email threads will also be included in those subfolders if you choose to extract attachments. The original file automatically moves to the Originals stage and to the top of the list of documents. It will not be in the folder that was newly created.

When you extract PST files in RapidReview, you’ll see a pop-up with an option to:

  • Extract PST files in original format: All attachments will be extracted in the original format. Emails will be converted to HTML or TXT depending on the email format.

  • Extract PST files to PDFs: Extracts individual emails (and their attachments) into one PDF file per email. If an attachment cannot be included in the PDF, it will be extracted separately in the original format.

  • Extract PST files to a single, merged PDF: Extracts all of the emails (and their attachments) into a single, merged PDF file. If an attachment cannot be included in the PDF, it will be extracted separately in the original format. If the PDF size exceeds 500 MB, the PDF will be split into approximately 500 MB chunks.

There is also an option for how to extract Attachments. If the option for 'Extract Email Attachments' is selected, it extracts the attachments from emails in the PST files. If the option for 'Do not Extract Email Attachments' is selected, the email attachments are not extracted.

Deduplication

When files are extracted in RapidReview, the system deduplicates the file so that no two of the same emails will appear in your list of extracted files. Emails are considered the same only when they contain the exact same Message-ID. Attachments contained within duplicate emails will also be removed during deduplication.


Extracted Files

  • If an email contains an attachment that also contains an attachment, only the top-level email attachment will be extracted.

    • The extracted email attachment will then need to be extracted again in order to extract its own attachments.

  • Extracted files will always be the same file type that was uploaded to NextRequest.

    • Example: If an image is a JPEG, it will be extracted as a JPEG. If an image is a PNG, it will be extracted as a PNG.

    • Example 2: If an email was uploaded as plain text, it will be extracted as a TXT file. If an email was uploaded as HTML, it will be extracted as an .html file.

Important Notes

  • Emails with the same content but different emails on the send/CC/BCC list will have a different Message-ID. These are considered unique and will not be deduplicated.

  • Attachments are only deduplicated if they are part of duplicate emails with the same Message-ID.

  • PST files that include Microsoft Teams messages are not extractable in RapidReview. To upload, view, and redact, you must first export your Teams messages as a PDF or other file type.

  • Email attachments (part of an MSG or EML file) must have file names of 255 characters or less in order to be extracted.


Extract Compressed Files Instructions

  1. Sign in to your account if you have not already

  2. Open the desired request An example request number in the Request column.

  3. Click Launch RapidReview (wrench icon) on a request Button to launch the RapidReview tool on a request.

  4. Check the boxes next to the files you'd like to extract Document list showing uploaded files with one selected.

  5. Click the Extract files icon in the toolbar above the list of documents Document management interface with the Extract files icon selected.

  6. A message will appear that says your file is being extracted, and once it's finished, you will see a green message that says "Processing complete!" Email files are being extracted, with various processing statuses displayed below.
