Catalog Facility Availability Time Filter

Additional Facility Filters were added to the Catalog to allow internal and public to search by time and duration to allow for more specific facility usage to determine if a facility is available to be reserved. This functionality is in addition to the existing date range (Rented From and Rented To) filter. This article will show you how to utilize the Facility Time Filter in the Catalog.

When a user selects a tab with facilities available for reservations, the option for the date range filter appears.

Important Note:

  • A facility is fully available (green) if all rate types for the day are fully open.

  • A facility is fully booked (red) if one or more reservations span the duration of all rate types for the day.

  • If neither of the above is true, we consider the facility partially available.

  • The Rental Start Time, Rental End Time, and Duration filters do not apply to Day Rate Types.

Using the Facility Time Filter Function

  1. Log in to Recreation Management

  2. Navigate to the Catalog Tab  Rec Catalog Tab.png

  3. Select the Catalog tab with facilities available to rent  Rec Catalog Facility Rentals Tab.png

  4. The date range filter will appear on the left side of the screen in the Filter panel. Use this menu to select a date range.  Rec Catalog Rentals Date Range Filter.png

  5. After selecting a date range, a new filter option for Rental Start Time, Rental End Time, and Rental Duration will display. Use these options to set your Rental Duration.  Rec Catalog Time Filter Start and End Time.png

    Note: Rental Start Time and Rental End Times can be input as 12-hour or 24-hour time clocks. For Example: 11 AM to 2 PM or 11:00 to 14:00. If you use a 12-hour timetable, you must include AM and PM labels.

  6. Once you input a Rental End Time, there will be a new filter for Rental Duration. You can select the amount of time you want to rent the facility for up to 12 hours. Common options are 30 Minutes, 60 Minutes, and 2 Hours.  Rec Catalog Time Filter Duration.png

    Note: When selecting the rental start and rental end time without a rental duration, Recreation Management will search for facilities with availability for the full time selected.

  7. Select which Facility you want to rent based on the remaining list of options.  Rec Facility Rental options.png

  8. This will open a grid list with the days available, where you can view availability based on color coding.  Rec Facility Rental Grid calendar.png

    • A facility is fully available (green) if all rate types for the day are fully open.

    • A facility is fully booked (red) if one or more reservations span the duration of all rate types for the day.

Facility Time Filter Examples

These examples of functionality are for an hour, half-hour, and minute rate types.

Example 1: If a user selects 9:00 AM to 11:00 AM and None on Rental Duration, the facility (Location #1) is not available for the entirety of the time range; it will not display.

Example 2: If Customer A reserved Location #1 from 10:00 am to 11:00 am, then Customer B sets the filters to view if a Location is available between 9:00 am and 11:00 am for 30 or 60 minutes. The filter will show that Location #1 has an available time slot from 9:00 AM to 10:00 AM.

Example 3: If the duration is changed to 90 minutes, Location #1 will no longer populate because there is not a 90-minute duration in that time range.

Example 4: If the user doesn't pick a time filter, the calendar will display partial availability for days with some reservations but not completely booked, instead of showing those locations as unavailable.

Block Rate Functionality

Behavior for block rates is slightly different for the time filter availability. For Block Rates - if the time selected falls within the block rate, it will show as available. If the time selected does not fall within the block rate, it will not show as available.

Block Rate Examples

Example 1: A location with a block rate is set up for the block from 12:00 PM to 5:00 PM. If a user selects 9:00 AM to 11:00 AM using the time filter, the location will not show as available.

Example 2: A location with a block rate is set up for the block time of 12:00 PM to 5:00 PM. If a user selects 12:00 PM to 2:00 PM, it will show as available because that time slot is available.

Public View

The same functionality exists on the public and mobile versions of Recreation Management

  1. Log in to Recreation Management Front End

    1. Select the Catalog tab with facilities available to rent

Mobile View

  1. Select a Catalog Tab with Rental Facilities  Rec Mobile View Rentals.png
