Create an Activity with the Drop-In Type

This process will show you how to create an activity and session using the Drop-In Activity Type. This allows participants to register in advance for a drop-in session.

Instructions

  1. Create an Activity with the Drop-In type Create an Activity fields screen highlighting the drop in activity type field.

    • Activity Name: Name the activity appropriately for a drop-in

    • Activity Type: Select Drop-In from the list

      Note:

      Fill out the rest of the fields as usual.

  2. Click the Create Session plus icon in the tools columnactivity list highlighting the plus icon to create a session on an activity line item.

  3. Under the Basics tab: Appropriately Name the session for the drop-in Activity creation basics tab with the name field highlighted.

  4. Make sure the Activity you just created is selected activity

  5. Add the Session Fee Fishing club session fee of $10.00 highlighted in the registration form.

  6. Under the Advanced tab, a Max Days Out can be added to restrict the number of days before the selected program date that users can enroll in. For example, if the Max Days Out is 7, participants could only register for class dates up to 7 days in advance. Advanced settings for program registration, highlighting maximum days fields.

  7. Navigate to the Pricing tab and assign a GL Code Activity session pricing tab highlighting the GL code fields.

    Note:

    Enter either a percentage or a flat dollar amount.

  8. Navigate to the Schedule tab and configure the Schedules fields Schedule section highlighted for activity session.

    • Facility: Select a facility from the list

    • Start/End Dates and Times: Indicate when the session will begin/end

    • Repeat: Indicate the interval of time for which the session will repeat

    • Day Select: Select the day(s) that the session will occur on

    • Relative Date: Select the Relative Date option to indicate that the session will repeat based on the week and weekday of the Start Date

    • Reserve Facility: Check to reserve the facility with the session schedule

    • Conflict Override: Click to override scheduling conflicts

    • Add Schedule: Add additional schedules as needed

  9. Click Save New Session Highlighted button to save a new session.

  10. Navigate to the Catalog tabNavigation menu Highlighting the Catalog Tab

  11. Participants will be able to select a current or future Drop-In Date when registering for the session Drop in field box highlighted on the check out screen.

  12. Registered participants will show up on the Drop-Ins tab of the session roster with their selected Drop-In Date listed Drop in tab view with the highlighted list of the drop in from check out.

  13. On the date of the selected drop-in session, the participants who registered for that date will show up on the Activity Check-In screen Check in screen highlighting the activity check in tab.
